Summary :

We are seeking a highly organized and versatile individual to serve as our Office Manager & Executive Assistant. This role is a unique blend of administrative support, human resources, and technical recruitment. You will be responsible for ensuring the smooth day-to-day operations of the office, providing dedicated support to the CEO / President, and contributing to the growth of our team by assisting with HR duties and technical recruitment.

Responsibilities :

Executive & Personal Assistance :

  • Manage the CEO / President's calendar, schedule meetings, and coordinate travel arrangements.
  • Help CEO with Personal & Household tasks when needed.
  • Prepare presentations, reports, and correspondence as needed.
  • Screen phone calls, emails, and mail, prioritizing and directing them appropriately.
  • Maintain confidentiality and discretion in all matters.
  • Office Management :

  • Oversee general office operations, including ordering supplies, maintaining equipment, and ensuring a clean and organized workspace.
  • Greet visitors and handle incoming and outgoing mail and deliveries.
  • Manage vendor relationships and negotiate contracts for office services.
  • Assist with event planning and coordination.
  • Human Resources :

  • Assist with onboarding new employees, including paperwork, orientation, and benefits enrollment.
  • Maintain employee records and ensure compliance with labor laws.
  • Assist with the development and implementation of HR policies and procedures.
  • Support the performance management process.
  • Technical Recruitment :

  • Assist with sourcing and screening candidates for technical roles.
  • Schedule interviews and coordinate communication with candidates.
  • Conduct reference checks and background screenings.
  • Assist with the offer process and onboarding of new hires.
  • Qualifications :

    3 years of relevant experience preferred but not mandatory. HR and tech recruiting experience a plus. Strong organizational, communication, and interpersonal skills. Proficiency in MS Office. Ability to work independently and prioritize tasks. Strong attention to detail and problem-solving skills. Ability to maintain confidentiality.

    Onsite Work :

  • Work onsite in Campbell / San Jose 8 hours every weekday.
  • No remote work in the first year.
  • Prefer someone who lives in the area.
