The Executive Assistant will provide high-level administrative support to the Chief Executive Officer (CEO) and other members of the Leadership Team.
Reporting directly to the CEO, the Executive Assistant provides a high level of support in a one-on-one working relationship handling a wide range of administrative, organizational, and communication tasks.
The Executive Assistant also serves as a liaison to the Board of Directors and Leadership Team; organizes and coordinates executive outreach and external relations efforts and oversees special projects.
Key Responsibilities:
- Executive Support and Calendaring
- Manage sensitive matters with a high level of confidentiality and discretion
- Provide high-level administrative support to the CEO by managing their calendar, scheduling meetings, and prioritizing appointments
- Prepare materials for meetings, coordinate presentations and reports, and ensure the CEO is well prepared for all engagements
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
- Organize travel arrangements, flights, accommodations, and itineraries for the CEO
- Conserve the Executive's time by reading, researching, collecting and analyzing information as needed
Project Management:
- Coordinate with other departments, committees, and stakeholders to ensure projects are on track and deliverables are met
- Help management and prioritize key initiatives related to the organization's success
- Take minutes during Board and Board Committee meetings, ensuring accurate documents and follow-up on action items
- Ensure all meeting materials are prepared in advance and distributed to relevant parties
- Maintain positive relationships with Board Members, Senior Leadership, staff, and external parties
Board and Executive Committee Support:
- Craft, communicate, and manage the annual calendar and workplan for the Board and Executive Committee
- Plan, Orchestrate & Manage Board and Executive Committee Meetings
- Define and execute a repeatable, consistent end-to-end process for meeting administration, agenda and content preparation, and offsite events
- Help to define and shape effective leadership meetings and events
- New Promoter onboarding & training, in partnership with Legal and Governance Operations
Requirements:
- Bachelor's degree required
- 5 years of related experience required in working in an executive assistant role supporting C-Level executives
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Slack, Signal, and Causeway
