Job Summary

The Assistant Manager I is responsible for dispensary daily operations when the District or Regional Manager is not present. These duties include employee leadership, product sales, customer service, inventory management, and compliance. They are responsible for training and supervising Team Leads and Customer Service Associates of all levels to ensure a well-functioning dispensary. Daily duties include, but are not limited to, supervising staff, intaking inventory, forecasting ordering needs, placing orders with vendors when needed, processing invoices and receipts, auditing inventory, packaging and labeling inventory, updating inventory in all necessary systems, ensuring compliance with laws and regulations, and maintaining a clean and well maintenance working environment. A high level of professionalism and work ethic are required, as are trustworthiness, and strong professional ethics.

Duties and Responsibilities

Customer Service – Sales

  • Provide exceptional, compassionate service to customers, employees, and all other visitors by sharing product knowledge, maintaining a positive/energetic attitude, and ensuring the company’s reputation for excellent customer service.
  • Greet customers and visitors, answer phones, respond to emails and messages from customers, taking resumes and applications for prospective employees.
  • Accurately record transactions in the Point of Sale / Inventory system and display accurate cash handling and cash auditing requirements.
  • Create a positive sales environment by maintaining a clean workspace, organizing in-store displays, creating menus and literature, etc.

Customer Service – Inventory

  • Weighing, packaging, and labeling products for the customer during the transaction.
  • Ensuring products meet State regulations for packaging, labeling, testing, etc., during the sale process.
  • Restocking products from backstock and keeping inventory system current to avoid errors.
  • Maintaining appropriate levels of inventory that meet both customer needs and budgetary expectations.
  • Work with the District or Regional Manager to develop and maintain appropriate inventory purchasing levels.
  • Edit and adjust sales and inventory in Metrc as needed after audit completion. Including creating receipts and correcting cross sales.

Compliance

  • Educate employees on acceptable forms of Identification for customers and provide coaching when necessary.
  • Understand and educate employees on proper entry of medical patient’s information in accordance with State regulations and provide coaching when necessary.
  • Ensure compliance regulations, security measures, and company SOPs are met to maximize loss prevention, eliminate theft, and minimize inventory discrepancies.
  • Investigate instances of non-compliance, policy infractions, theft, and inventory errors with the use of cameras and other investigation techniques.

Supervisor – Sales

  • Perform dispensary opening and closing tasks: Auditing cash drawers for customer service reps, verifying cash and tax for daily sales totals, overseeing cleaning and sanitizing requirements for customer sales areas, auditing petty cash, requesting cash/change, filling ATM, etc.
  • Train staff on customer service standards, sales and cash handling procedures, product knowledge, and point of sale systems. Provide leadership and support for sales associates to drive and maximize sales results.
  • Prepare bank deposits and update deposit logs.
  • Ensure that CBN Inc. policies and procedures are being adhered to.
  • Manage, supervise, and direct the daily activities of assigned staff.
  • Utilize company point of sale systems to accurately and correctly track and audit sales, taxes, sales trends, and cash systems.
  • Enforce professionalism and appropriate conduct standards.

Supervisor – Inventory

  • Utilize the State Cannabis Tracking System to audit and inventory products.
  • Manage product quality, and pre-sale product requirements including invoicing, packaging, labeling, test results, entering products into the inventory systems, etc.
  • Repackaging products for re-sale; i.e. Sifting/jarring flower, making pre-rolls, weighing shatter.
  • Perform dispensary opening and closing tasks: Re-stocking, setting up and taking down products to meet state requirements, nightly product audits, cleaning and maintaining materials, equipment, and areas used for storing, weighing, and packaging products.
  • Train staff on Federal, State Local industry regulations, inventory standards, computer systems, and company policies and procedures.
  • Utilize state CTS systems, and company POS systems to accurately and correctly track and audit cannabis products within the states guidelines.

Supervisory Duties- Administrative

  • Provide ongoing training to CSA 1, CSA 2, and Team Leads.
  • Provide ongoing coaching to employees in matters related to daily operations, SOPs and operational efficiencies.
  • Track and report employee absences to the Human Resource Department.
  • Communicate staffing behavior issues to District Manager and Human Resource Department.
  • Monitor the schedule and communicate with District Manager about scheduling conflicts, call ins, time off requests or other items that affect the schedule as written.
  • Audit daily timecards to ensure all signatures are present and all breaks are taken. Make adjustments within the payroll system ahead of payroll.
  • Track and report employee tips.
  • Work with the Controller and District Manager to ensure the location is meeting budgeting expectations.
  • Submit service tickets as needed with the IT Department, Bio track, Dutchie & Intuit.

Secondary Duties

  • Occasional maintenance, cleaning, and repair.
  • Prepare schedule during the absence of District Manager.

Essential Job Functions

  • Ability to stand for long periods of time.
  • Advanced computer literacy skills
  • The ability to read and understand data and complete complicated math problems.
  • The ability to clearly communicate with staff, vendors, and customers in writing and verbally.

Education and Experience

  • High school diploma or equivalent
  • Experience working in the cannabis industry preferred.
  • Must be 21 years old.
  • Must possess and keep current a valid OLCC Marijuana Workers Permit
  • Must pass a criminal background check.

Physical Demands

  • The ability to spend 8 hours or more around cannabis plants and cannabis plant materials.
  • Ability to lift up to 50 lbs.
  • Ability to sit or stand for periods of up to four hours at a time.
  • Ability to bend, stoop or reach.
  • Ability to utilize step stools and ladders.
