Job Summary

The Store Manager is responsible for overseeing dispensary daily operations at one location with duties including employee leadership and coaching, product sales, customer service, inventory management, and compliance. They also train and supervise Assistant Managers, Team Leads and Customer Service Associates to ensure a well-functioning dispensary. Daily duties include, but are not limited to, supervising staff, writing schedules, coaching, and counseling employees, conducting interviews, completing performance evaluations, and training employees. They will often be responsible for intaking inventory, forecasting ordering needs, placing orders with vendors, processing invoices and receipts, auditing inventory, packaging and labeling inventory, updating inventory in all necessary systems, ensuring compliance with laws and regulations, maintaining a clean and functional working environment, and working with the Controller and Chief Operating Officer to meet budgeting expectations. A high level of professionalism and work ethic are required, as are trustworthiness, and strong professional ethics.

Duties and Responsibilities

Customer Service – Inventory

  • Weighing, packaging, and labeling products for the customer during the transaction.
  • Ensuring products meet State regulations for packaging, labeling, testing, etc., during the sale process.
  • Restocking products from backstock and keeping inventory system current to avoid errors.
  • Maintaining appropriate levels of inventory that meet both customer needs and budgetary expectations.

Compliance

  • Educate employees on acceptable forms of Identification for customers and provide coaching when necessary.
  • Educate employees on proper entry of medical patient information in accordance with State regulations and provide coaching when necessary.
  • Maintain up to date knowledge of cannabis laws and compliance. Effectively communicate any changes to employees and ensure implementation.
  • Audit sales for correct tax deductions, proper naming protocols, and compliant medical profile creation and entry.
  • Ensure compliance regulations, security measures, and company SOPs are met to maximize loss prevention, eliminate theft, and minimize inventory discrepancies.
  • Ensure all employees are trained on allowable sales limits for different Marijuana products.
  • Investigate instances of non-compliance, policy infractions, theft, and inventory errors with the use of cameras and other investigation techniques.
  • Understand how and when to communicate with the OLCC & Metrc.

Supervisor – Sales

  • Perform dispensary opening and closing tasks such as auditing cash drawers for customer service reps, verifying cash and tax for daily sales totals, overseeing cleaning and sanitary requirements for customer sales areas, auditing petty cash, requesting cash/change, filling ATM, etc.
  • Prepare deposit bags with daily sales amounts for bank deposit pickups.
  • Train staff in customer service standards, sales and cash handling procedures, product knowledge, and point of sale systems. Provide leadership and support for sales associates to drive and maximize sales results.
  • Monitor the schedule and communicate with District Manager about scheduling conflicts, call ins, time off requests or other items that affect the schedule as written.
  • Ensure that CBN Inc. policies and procedures are being adhered to.
  • Manage, supervise, and direct the daily sales activities of assigned staff.
  • Utilize company point of sale systems to accurately and correctly track and audit sales, taxes, sales trends, and cash systems.
  • Complete audits of the ATM and Deposit logs to ensure accuracy.

Supervisor – Inventory

  • Utilize Metrc to audit and inventory products.
  • Manage product quality, and pre-sale product requirements including invoicing, packaging, labeling, test results, entering products into the inventory systems, etc.
  • Repackaging products for re-sale; i.e. Sifting/jarring flower, making pre-rolls, weighing shatter.
  • Perform dispensary opening and closing tasks: Re-stocking, setting up and taking down products to meet state requirements, nightly product audits, cleaning and maintaining materials, equipment, and areas used for storing, weighing, and packaging products.
  • Train staff on Federal, State Local industry regulations, inventory standards, computer systems, and company policies and procedures.
  • Utilize Metrc, and POS systems to accurately and correctly track and audit cannabis products within the states guidelines.
  • Utilize historical sales data and budgetary guidance to develop inventory ordering PARS and SOPs.

Supervisory – Administrative

  • Create and implement the weekly schedule for all hourly employees, review and respond to time-off requests and make necessary changes to the schedule based on staffing needs.
  • Provide ongoing training to Assistant Managers, CSA 1, CSA 2, and Team Leads.
  • Provide ongoing coaching to employees in matters related to daily operations, SOPs and operational efficiencies.
  • Assist the District Manager in writing and delivering performance reviews. Make recommendations to the HR Department and Chief Operating Officer for changes in compensation and position titles.
  • Work with the HR department on employee issues that involve disciplinary action, employee injuries, employee leave requests or accommodation requests.
  • Provide ongoing coaching, maintain records of discussion, and communicate regularly with District Manager and HR Department on issues relating to employees.
  • Participate in Safety Committee meetings, provide safety trainings and engage in hazard identification, reporting and correction.
  • Track and report employee absences to the Human Resource Department.
  • Track and audit employee timecards and tips and submit to Human Resource Department.
  • Work with finance to ensure invoices are coded and sent to finance within
    appropriate timelines, complete monthly audits of the monthly transaction reports, and adhere to budgeting expectations outlined by COO and Controller.

Secondary Duties

  • Occasional maintenance, cleaning, and repair.
  • Provide exceptional, compassionate service to customers, employees, and all other visitors by sharing product knowledge, maintaining a positive/energetic attitude, and ensuring the company’s reputation for excellent customer service.
  • Greet customers and visitors, answer phones, respond to emails and messages from customers, taking resumes and applications for prospective employees.
  • Accurately record transactions in the Point of Sale / Inventory system and display accurate cash handling and cash auditing requirements.
  • Create a positive sales environment by maintaining a clean workspace, organizing in-store displays, creating menus and literature, etc.

Essential Job Functions

  • Ability to stand for long periods of time.
  • Advanced computer literacy skills
  • The ability to read and understand data and complete complicated math problems.
  • The ability to clearly communicate with staff, vendors, and customers in writing and verbally.
  • The ability to spend 8 hours or more around cannabis plants and cannabis plant materials.

Education and Experience

  • High school diploma or equivalent
  • Experience working in the cannabis industry preferred.
  • Must be 21 years old.
  • Must possess and keep current a valid OLCC Marijuana Workers Permit
  • Must pass a criminal background check.

Physical Demands

  • Ability to lift up to 50 lbs.
  • Ability to sit or stand for periods of up to four hours at a time.
  • Ability to bend, stoop or reach.
  • Ability to utilize step stools.
