JOIN CANNON as a CLERICAL ASSISTANT in our IRVINE office. Irvine offers warm weather, beautiful scenery, and is a top bicycling city with miles of on-road bicycle lanes and mountain bike trails. CLERICAL ASSISTANT JOB SUMMARY

The Clerical Assistant will work under the general supervision of the Human Resources Manager and assist the Irvine office with a variety of tasks such as providing general administrative support, maintaining kitchen and supply rooms, conducting inventory, ordering supplies, set-up, and clean up after company events (lunches, birthday celebrations, etc.), running errands, filing, copying, archiving, typing, and answering phones. 

This position supports all departments, services, and functions, maintains workflow for administrative tasks, and works on a regular basis with all employees, managers, Directors, and receptionists. This position does not have the flexibility to work from home. 

  

CLERICAL ASSISTANT JOB DUTIES

  • Performing routine office tasks necessary for the operation of a professional office.
  • Supporting company events, training, and meetings - working closely with Human Resources, Marketing, Operations, and other group(s) by providing advanced coordination, marketing, and day of facilitation and event clean-up.
  • Assisting with various office projects.
  • Filing, auditing, copying, and word processing.
  • Inventorying and tracking various supplies such as kitchen, office, and marketing supplies, etc.
  • Performing tasks in Microsoft Word, Excel, and Outlook.
  • Answering phones.
  • Cleaning and stocking the kitchen and supply room.
  • Running errands including purchasing kitchen supplies, picking up lunches, purchasing items for meetings and events, vehicle maintenance, company and client deliveries, etc.
  • Archiving project files. 
  • Decorating office for events and holidays throughout the year, (i.e. Halloween, Thanksgiving, and Christmas).

Requirements

  • Minimum 2 years' work experience in an administrative function within an office setting.
  • Available to work 24-32 hours a week, between the hours of 8:00 AM – 5:00 PM. Note: If working 30 or more hours a week, benefits would be provided. 
  • Valid CA driver's license. 
  • Own vehicle, clean driving record, and valid automobile insurance.
  • At least 21 years old.
  • Experience answering multi-line systems.
  • Experience with Microsoft Word, Excel, and Outlook required.
  • Strong time-management skills and ability to prioritize work, projects, and requests.
  • Strong attention to detail and accuracy.
  • Ability to work independently.
  • Ability to establish and maintain effective working relationships with varying personalities.
  • Ability to lift and carry boxes and supplies on a weekly or daily basis, up to 35lbs, without accommodation.
  • Ability to kneel, bend, reach, handle, push, and lift frequently when performing job duties.
  • Ability to type 40 words per minute.
