Position Title: Administrative Assistant

Job Summary:
Under direct supervision, this position provides administrative and date entry support for the operations team. Duties include engagement in project-based work (i.e. running reports, data analysis, organizing results into concise data driven reports), and maintaining office systems. The incumbent is responsible for all clerical tasks including tracking, training, participation, and assisting with the management of existing projects and tasks. Supports managers and employees through a variety of tasks related to organization and communication.
Essential Duties & Responsibilities:
- Efficiently maintains office services and operations, oversees administrative operations and procedures, and completes clerical functions.
- Perform monthly reconciliation of membership files to ensure accuracy in Syncrasy and eCW.
- Verifies Cano Life member eligibility.
- Handles sensitive information in a confidential manner.
- Implement and monitor programs as directed by management and see the programs through to completion.
- Responsible for all aspects of data entry and report generation for the company’s HER system. Reviews and organize data garnered into concise reports.
- Create and modify documents using Microsoft Office, Excel, and Power Point presentations.
- Generate memos, emails and reports when appropriate.
- Retrieve data from the database or electronic files as requested.
- Perform regular backups to ensure data preservation.
- Assists with the development of the Cano Life program; working collaboratively with all levels of staff to assess and respond to operational needs.
- Assists department with setting up/monitoring an efficient system for managing individuals’ records.
- Performs selected administrative functions in support of processes and program development.

Education & Experience:
- Minimum high school diploma or equivalent
- Minimum 1 year of recent data entry experience in a general office setting
- Must have excellent computer skills and be able to type quickly and accurately
- Knowledge of office management systems and procedures
- Ability to easily navigate multiple databases
- Must have excellent organizational and planning skills to produce a large quantity of work under tight constraints
Knowledge, Skills & Proficiencies:
- Excellent written and oral communication skills
- Fluent in English and Spanish.
- Able to work well with little supervision
- Excellent time management skills and ability to multi-task and prioritize work
- Strong organizational and planning skills
- Attention to detail and problem-solving skills
- Must possess the desire and willingness to learn and apply new skills
- Must be quality and detailed oriented
- Proficient in MS Office
Tools & Equipment Used:
Computer and peripherals, standard and customized software applications and tools, and usual office equipment.
Physical Requirements/Working Environment:
This position works under usual office conditions. The employee is required to work at a personal computer as well as be on the phone for extended periods of time. Must be able to stand, sit, walk and occasionally climb. The incumbent must be able to work extended and flexible hours and weekends as needed. Physical demands include ability to lift up to 50 lbs.
