What you'll do
The Mortgage Loan Processing Assistant role will support Mortgage Loan Officer Assistants and Loan Processors by handling various administrative tasks.
- Order Title: Process title orders for purchase and refinance loans within 24 hours of the request.
- Follow Up on Title Documentation: Contact the Title Company every other day after purchase and refinance orders to collect necessary documentation.
- Verification of Employment (VOE): Complete VOE requests and follow up every other day until the VOE is received.
- Reverification of Employment: Conduct reverification of employment up to 10 days before the closing date.
- Disclosures: Disclose files as requested by Loan Office Assistants within 24 hours of the initial request.
- Order Homeowners Insurance (HOI): Order HOI as requested by Processors within 24 hours of the request.
- Canvas Membership: set up Canvas membership prior to requesting HOI and Title so the loan number is correct on all documents.
- Contract Data and Dates: check data and dates in Encompass to ensure dates are correct prior to completing order outs.
- Appraisals: Order appraisal through MAM or VA portal same day of request.
- Condo Documents: Order condo documents and uploading invoices.
- Condo Insurance: Order condo insurance and/or PUD insurance.
- Flood Certificate: Order flood certificate same day of request.
- Compliance Order: Order Data Verify - pulling SSV if needed based on results and letting the team know if additional REO, OFAC or other issues are noted.
- Refinance Payoffs: Order payoffs for refinances within 24 hours of request.
- USPS: Pull USPS zip codes validation to ensure that address and county matches the contract/Encompass data.
- Documents: Organizing documents, remaining to standard template.
- Communication: Maintain clear and consistent communication with Loan Officer Assistants, Processors, and Mortgage Loan Officers.
- Administrative Duties: Perform additional administrative tasks as needed.
- This role at Canvas requires National Multistate Licensing System (NMLS) registration under the S.A.F.E. Act of 2008. This means we conduct background checks to ensure NMLS registration and Canvas requirements are met. (Not meeting or staying current may result in removal from role).
- Pre-employment background review (components include criminal, employment, address, social security number, motor vehicle record, global sanctions, and sex offender).

Education or Formal Training: High school diploma or GED or equivalent relevant work experience.
Experience: Minimum of two years customer service or administrative experience required. Previous loan processing experience preferred but not required.
This position has a starting pay range of $20.00-$22.51/hour, and final pay rate will be determined based on skills, experience, education, and internal equity factors.

Working Environment/Physical Activities
High volume, fast-paced, dynamic office environment with some travel. Must be able to attend meetings and events outside of regular business hours. The job routinely uses standard office equipment such as computers, phones, printers, copiers, fax machines and filing cabinets. The position requires manual dexterity, the ability to lift files and open filing cabinets. The position requires bending, stooping, or standing as necessary.
