Position Summary This position allows flexibility (no less than 32 hours average per week) while working with a team of experienced financial professionals to assist with the firm’s operations and administration team, in addition to serving the financial planning needs of client families. They will follow established processes and procedures, with structured training and extensive interaction with our internal team and external clients to resolve questions and problems. There is some opportunity for hybrid work.

  • Ability to manage projects from start to finish.
  • Eager to learn, adapt, and take on new challenges.
  • Financial aptitude; ability to analyze basic financial data.
  • Administrative experience required.
  • Experience at a financial advisory firm is a plus, but not required.

Duties & Responsibilities

  • Have daily team and client interaction through meetings or phone/video calls; review emails/phone calls on work days.
  • Participate in Monday team virtual meetings, other team meetings, and client events (client events are encouraged, but optional).
  • Operations/Administration
    • Assist COO with various operations-related work.
    • Assist in the creation of new processes.
    • Assist in onboarding of new team members.
    • Initiate team communication.
    • Complete Quickbooks expense input and troubleshoot.
    • Assist with technology team tasks, team communications, and ordering of tech equipment.
    • Additional operations responsibilities added after training and skill assessment.
  • Client Service
    • Build relationships with clients through meetings, events, and other interactions.
    • Schedule client meetings.
    • Complete client set-up and related detailed tasks.
    • Create and maintain client files, tasks, and notes.
    • Complete client new accounts and ongoing maintenance of accounts.
    • Do “Delight your client” tasks, such as birthday cards, and new client gifts.
Position Details

  • Target hours 30-35 per week (up to 40 available) *The maximum hours can be achieved after training and the full workload assigned.
    • Flex-time daily - remote and in the office.
    • Time off can be scheduled whenever needed, with proper backup confirmed.
  • In-office time
    • Around 3-4 days per week, can be partial days.
    • In the office, minimum ½ of the total weekly hours to perform administration/operational duties, participate in client meetings, team and manager meetings, and other team interactions.
    • During the training period, there may be more in-office time.
Compensation And Reviews

  • Paid hourly by timesheet at the end of the month.
    • Quarterly bonus earned on client work after a 3-month probationary period and completion of the training plan.
    • Review after a 3-month probationary period; then on schedule to review for raise annually.
  • Benefits available.
  • Pay depends on industry and administrative experience.

All at-home equipment provided by CAP Partners and used in conjunction with CAP Partners security procedures and processes.
