The Academic Associate for Site Based Learning reports to the Supervisor, Site Based Learning. This position is a specialized role that is responsible for support and leadership in the implementation, execution, development, and maintenance of site-based learning (e.g., practicum, internship, etc.) processes, communication, and documentation. The Academic Associate collaborates with internal colleagues and departments, as well as external stakeholders to ensure site-based learning experiences address program requirements and competencies. ***The selected applicant for this position may be required to work onsite and attend onsite or offsite meetings and events. As such, the selected applicant must be fully vaccinated against COVID-19 as a condition of employment. Proof of vaccination will be required before the first day of employment. We will consider requests for exception from this requirement under our process for disability accommodation or religious exemption.*** Essential Duties & Responsibilities: Fully support both learners and academic partners throughout the site-based learning cycle. Review SBL applications, in-progress, and completion documentation. Process registrations. Maintain learner files and tracking documents. Establish, implement, and review policies, practices, and procedures pertaining to site-based learning. Complete and maintain regular reporting. Regularly collect and analyze outcome training data to move towards continuous quality improvement of learner success and persistence, and program outcomes. Manage and resolve learner issues in collaboration with organizational stakeholders. Engage with designated learner population via office hours, and appointments. Return all voicemail and email messages within 24 business hours (business days). Send regular proactive communications to learners to provide critical site-based learning resources. Help to maintain and develop new and review/revise existing resources for learners, site supervisors, and other stakeholders, as needed. Support and assist accreditation efforts for SBL. Support accreditation efforts at the University level. System configuration experience preferred. Inter-University Collaboration and Partnerships - Serve on SBL committees, sub-committees and work groups, Cross training in other SBL areas, provide on-going updates and trainings across the university regarding SBL processes and requirements (e.g., Academic Advising, Enrollment Services, and Licensing). Job Skills: Ability and willingness to work in a fast-paced and high demand environment. Strong organizational skills; project planning, prioritization, and execution; and management of multiple details. Demonstrated self-starter and manager of work and projects. Ability to represent Capella brand externally with learners, site supervisors, and sites Critical thinking and problem-solving skills, the ability to exercise independent judgment, and demonstration of successful project execution. Strong interpersonal skills evidenced in the ability to build and maintain relationships and work collaboratively internally and externally. Effectively communicate, both up and down the management chain. Excellent written and verbal communication as evidenced in the use of strong grammar and sentence structure. Regular, dependable attendance and punctuality are essential functions of this job. Other essential functions and marginal job functions are subject to modification. Must be able to work more than 40 hours per week, when business need warrants. Work Experience: 3 years minimum experience in higher education operations. Education: Master’s degree preferred; Bachelor’s degree required. Other: Must be able to travel 0-10% of time. Must be able to lift 40 lbs. Typical office setting. Mobility within the office including movement from floor to floor. Travel via plane, car, and metro may be required to perform this job.
