Description:
The Senior Manager of Operations is responsible for overseeing the full spectrum of facility operations, including Safety, Process Adherence, Inventory, Receiving, Put-away, Replenishment, Pulling, Shipping and Quality teams. This role ensures that daily, weekly, and monthly KPI’s are consistently achieved. A key component of this role is being a strong problem solver who can identify and address root causes of issues, while engaging teams for valuable feedback and collaboration This role also collaborates closely with Facilities, Transportation, IT, Project Management and Program Leaders to ensure that all KPIs are met throughout the logistics chain. In addition, the Senior Manager of Operations provides strategic planning and analytical support to the transportation team, focusing on finding efficiencies and maximizing internal fleet utilization. This role will also assist the Managing Director of Operations with future planning and special projects throughout the year, such as biannual inventory reviews and annual food safety audits. A key responsibility will be the development and implementation of a comprehensive safety plan, with a focus on both staff and food safety, ensuring that adequate training and learning opportunities are consistently provided.
Essential Functions:
Food and Warehouse Safety Management – 25%
- Ensure compliance with all food safety standards across the warehouse.
- Conduct regular safety briefings and safety checks for all warehouse staff.
- Track and provide ongoing staff training on equipment, ERP systems, and SOPs.
Day-to-Day Oversight – 50%
- Lead end to end operations, ensuring KPI’s are met by guiding, coaching, developing and holding teams accountable.
- Identify and address root causes of challenges and collaboratively engage the teams to provide a solution.
- Oversee Volunteer staff, ensuring they contribute to warehouse operations when not assisting the Community Engagement Team.
- Report on all departmental performance to Managing Director.
- Foster collaboration across all Operations managers and teams.
- Conduct daily warehouse inspections to spot potential inventory issues (e.g., old orders, returns, abandoned pallets).
- Participate in and report on weekly Inventory meetings.
- Help create and refine SOPs for operational processes.
- Plan for the next 6-12 months, anticipating challenges and strategic shifts.
- Design, develop, and execute operational procedures for warehouse activities, including food inventory, facility maintenance, and receiving food for distribution to partners and sites.
- Ensure efficient receipt and distribution of food to avoid stock-outs, delays, and missed delivery windows.
- Address the root causes of product losses and implement corrective actions.
- Promote a team-oriented environment to achieve team goals.
- Ensure compliance with government-regulated programs (e.g., TEFAP).
- Assist the Managing Director of Operations with special projects as needed.
- Handle invoicing, expenses, and other tasks to ensure smooth warehouse operations.
- Maintain and ensure all fleet and equipment in the warehouse is in good working condition.
- Identify opportunities for process improvements and collaborate with the Director of Operations to plan and execute enhancements.
Staff Supervision – 25%
- Provide coaching and mentoring to developing staff.
- Develop and execute a training schedule to ensure KPIs are met.
- Appraise the performance of direct reports and identify growth opportunities.
- Conduct supervisory duties in accordance with organizational policies.
- Manage human resource functions within warehouse operations, including recruiting, training, scheduling, coaching, and staff development.
Qualifications
Minimum Requirements:

College degree preferred.

5 years of experience in Warehousing, Supply Chain, Logistics, Distribution, and Inventory Systems.

Strong problem-solving and analytical skills.

Excellent interpersonal, written, and verbal communication skills, with a solid understanding of mathematical concepts.

Proficient in computer systems, particularly Excel and data management.

Ability to work in a fast-paced, high-energy environment while managing multiple priorities and meeting deadlines.

Ability to delegate effectively to maximize employee performance.

Experience working in team environments and driving change.
Knowledge, Skills, and Abilities:

Strong proficiency with inventory or data warehousing software.

Physical Requirements:

This role is based in a warehouse setting with some exposure to outdoor elements during the workday.
