What are the responsibilities and job description for the New Patient Coordinator position at Capital Area Pediatrics?
Capital Area Pediatrics offers accessible, comprehensive pediatric care to families at five practice locations throughout Northern Virginia. For both sickness and health, generations of families have chosen Capital Area Pediatrics to provide outstanding care and an exceptional patient experience. The New Patient Coordinator will support families through the onboarding process of joining our practice. They will serve as the first point of contact for families, providing a welcoming and supportive environment. This is an onsite position, located at the Capital Area Pediatrics Central Business Office in Oakton, Virginia (Administrative Office).
In this role you will:
- Review and assess incoming new patient requests. Responding promptly to inquiries regarding registration and services.
- Collect and upload new patient medical records and necessary documentation.
- Create new patient charts within Electronic Medical Record (EMR) system and enter in applicable health and immunization histories.
- Schedule and confirm appointments for new patients.
- Communicate appointment details and any necessary pre-visit instructions to patients and their families.
- Assist with other administrative tasks as needed to support practice operations.
Knowledge, Skills, Abilities
- Ability to employ active listening and remain solutions-oriented in interactions with patients, families and members of the health care team.
- Ability to learn and retain new computer skills to support business needs
- Fundamental knowledge of computer systems including Microsoft Office.
- Fundamental knowledge of HIPPA compliance.
- Excellent oral and written communication skills.
- Ability to take direction and complete tasks as assigned.
- Demonstrate initiative and a problem-solving mentality.
- Ability to conduct calls using professional phone etiquette.
- Ability to maintain confidentiality.
- Demonstrate deductive reasoning skills.
Qualifications:
- High school diploma or equivalent; additional education in healthcare administration is a plus.
- Previous experience in a healthcare setting, particularly in a pediatric or family practice, preferred.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency with electronic medical records (EMR), experience within Athena is preferred.
- Ability to handle sensitive information with confidentiality and professionalism.
