About the Role
The Site Supervisor is a Full Time role responsible for overseeing the day-to-day operations at the practice. The Site Supervisor will be responsible for ensuring operations are running to best practices and according to all company standards. The site Supervisor will ensure smooth and efficient patient workflows and will help to course correct when needed. The Site Supervisor will report to and work closely with the Practice Managers/ Practice Administrator. Critical thinking skills and a "can do" attitude are required for this position.
Leadership and Planning
- Aids with the strategic planning process.
- Promotes and is a champion of best practices.
- Participates in the planning process.
- Knowledgeable about the budget.
- Manages the schedule with labor costs as a consideration.
- Makes decisions confidently, effectively and based on present information.
- Demonstrates excellent interpersonal skills with staff, customers, and peers while contributing to a team environment.
Operations
- Oversees and ensures daily operations.
- Utilizes metrics to make daily decisions.
- Upholds policy.
- Aids to execute and train staff on roll outs of new procedures, systems, and/ or workflows.
- Performs quality checks and reviews.
- Monitors computer systems and works with the appropriate parties to resolve technical systems/equipment issues.
- Utilizes resources to maximize efficiency and problem solve.
- HR/Legal/HIPAA Compliance: ensure compliance with governmental regulations and industry requirements
People Management
- Partners with the Practice Managers/ Practice Administrator to address staffing needs including hiring, training, reviewing, and corrective action for staff.
- Leader of staff morale.
- Builds talent through training and succession planning.
- Models professional and courteous manner with staff, patients, and parents.
- Upholds the CAP culture at site level through effective and timely communication.
- Ensures thoughtful reviews are completed and delivered timely.
- Expert in resolution management.
- Communicates bi-directionally from site to corporate and from corporate to site.
- Engages in the hiring process, including interviewing, and selecting new talent.
Patient/ Customer Service
- Monitors and course correct patient flow for overall efficiency.
- Demonstrates and reinforces the highest level of patient service.
- Resolves patient issues and escalations.
- Reviews patient satisfaction data, reports data to Practice Managers/Practice Administrator as needed.
- Protects the reputation of CAP.
Financial
- Manages accounts receivable and cash on hand, including performing invoice audit reviews.
- Manages inventory as needed.
- Understands and can speak to the financial status of the site.

Knowledge, Skills and Abilities
- Oral and written communication skills.
- Computer skills i.e. Microsoft Office suite, ability to navigate websites and experience with practice management software knowledge is preferred.
- Ability to travel to all site locations and work flexible hours.
- Ability to handle medical records discreetly.
- Knowledge of medical issues and terminology.
- Ability to multi-task and perform well in stressful situations.
- Strong communication skills and a customer service orientation.
- Time management and strong organizational skills.
- Knowledge of general administration in a healthcare setting.
- Ability to operate and troubleshoot issues with standard office equipment, including but not limited to, computers, telephone systems, copiers, and facsimile machines.
- Can work independently and with a team.
Experience and Educational Requirements
- At least one year of supervisor experience preferably in the medical field.
