Role:The Special Events Coordinator is responsible for all revenue producing special events including overall event strategies and tactics, sponsorship solicitation, ticket pricing, volunteer engagement, committee management, printed collateral, coordination of event logistics, budgeting and goal attainment. Works collaboratively with all related Foundation partners at the Company and market levels to ensure special event efforts result in a high quality, high accomplished, and financially rewarding event.
Qualifications:
• Bachelor’s degree or an equivalent combination of education and fundraising, marketing or public relations experience having an event focus
• Minimum of two (2) years of experience developing and executing special events for medium and large organizations
• Excellent written and verbal communication skills
• Skilled at listening, and responding effectively; works well with others at all levels
• Computer experience including Internet research, Microsoft Office applications, Windows, BlackBaud CRM; Raiser’s Edge experience preferred
• Highly organized; efficient time management; multi-tasking under stress; ability to identify source of problem and effectively solve in an expeditious manner
• Ability to manage tasks and coordinate the work of volunteers, make decisions, manage conflict, plan and organize in a timely manner
• Ability to work in a fast paced environment
• Intermittent Driver – Valid driver’s license and automobile insurance per Company policy. Ability to travel off-site to meet business needs
• Able to work with minimal supervision and use independent judgment; know when to engage support for situations outside of role scope

Job Responsibilities:
• Collaborating with Director of Annual Giving and appropriate Foundation team members, identifies, develops, and delegates (within Markets) production, implementation, logistics and marketing strategies (traditional and digital) for all revenue producing to include overall event strategies and tactics, ticket pricing, sponsorship solicitation, volunteer engagement and committee management, printed collateral production, coordination of event logistics, budgeting and goal attainment.
• Collaborating with Foundation market team members, oversees plan, organizes, monitors, and executes fundraising events, donor programs, and event activities including maintenance and storage of event photographs and necessary media releases for all affiliates.
• Accountable and responsible for ensuring all special events, under the Corporate umbrella, including sponsorship solicitation, event budget, timelines, vendor management, volunteer recruitment, theme development, logistical implementation, registration and checkout processes are properly aligned, profitable, and executed to achieve goals. Event action items also to include analyzing events, providing reported outcomes, and providing survey analysis among event guests and team members.
• Working with Foundation team members including support staff, plans, organizes, monitors and executes donor awareness and cultivation efforts and strategies to exploit corporate giving opportunities both within the market levels and the Organization (internal vendors).
• Fully leverages volunteers in the buildout of support teams to help disseminate community engagement opportunities to position the Foundation at the forefront within each Market served.
• Collaborates with the Market Fundraising Support Associates to develop, maintain, and distribute print publications and all event collateral materials including VIP invitations, event invitations, tickets, sponsorship flyer, signage, volunteer nametags, and other various print needs for fundraising events and donor cultivation events.
• Working with the Market Fundraising Support Associates and the Development Services team, manages event invitation list and mailings for all internal and external events and verifies all event donor records are accurately recorded in RE, archived within the department for future review, acknowledged in a timely manner, and ensures all appropriate amenities are provided to the corporate and individual donor/sponsor alike.
• Collaborating with Market Foundation partners, solicits/manages in-kind donations for events including media, printing, auction/prize donation and other donations attached to events.
• Works with venue and related management to negotiate terms and secure legal approval of multiple contracts for event vendors, including venue rental, media, entertainment, transportation, equipment, catering and other logistical requirements.
• Partners with Annual Giving Director in executing overall department strategy by increasing all aspects of annual giving including development, implementation, and engagement of team members and volunteers for the Employee Campaign.
• Performs other duties as assigned.
