The Assistant Director of Admission - Events is responsible for planning, organizing, and executing various on-campus events designed to attract prospective students and their families, including open houses, information sessions, campus tours, accepted student days, and other recruitment events, while ensuring a positive and informative experience that showcases the university's offerings and promotes enrollment.
Serves as lead for planning and implementation of events hosted by the Office of Undergraduate Admission and represents Capital University to internal and external partners in the development of recruitment events. Counsels students that are visiting campus and promotes the benefits of a Capital University education to families visiting campus for tours and for recruitment events on and off campus.
Primary roles and responsibilities:
Event Planning and Logistics:
- Develop and manage event calendars, timelines, and budgets for admissions events.
- Coordinate venue/room selection, catering, audio-visual equipment, and other logistical aspects.
- Recruit and train faculty, staff, and student volunteers to assist with event operations.
- Collaborate with Admissions/Enrollment leaders, Marketing and Communications and Admissions Operations to develop event materials like brochures, presentations, invitations, communications flows, and registration forms.
Student Engagement:
- Facilitate interactions between prospective students and current students through events like student panels and social gatherings. Develop and implement programs to showcase campus life and student organizations.
Communication and Collaboration:
- Collaborate with multiple campus partners including marketing, financial aid, and Student Learning and Development to ensure seamless event coordination.
- Maintain relationships with high schools, community organizations, and recruitment partners.
- Communicate effectively with prospective students, parents, faculty, and admissions staff.
- Contribute to Capital University's philosophy, strategic plan, goals, and doctrine.
Data Analysis and Reporting:
- Track event attendance, lead generation, and conversion rates to evaluate the effectiveness of admissions events.
- Analyze data to identify trends and inform future event planning strategies.
- Prepare reports for the admissions leadership team on event outcomes.
Admission Counseling:
- Provide admission information sessions and presentations to prospective students and families.
- Interview and counsel prospective students to promote the benefit of a Capital education and counsel students regarding the application and enrollment process at CU.
- Travel for recruitment and off-campus events as needed.
- Serve as the counselor on duty on a rotating basis to meet with prospective students and their families on campus.

Qualifications:
- Bachelor's degree in marketing, communications, event management, or a related field.
- A Motor Vehicle License is required.
- Proven experience in event planning and execution preferred.
- Previous admission or enrollment experience preferred.
- Excellent communication and interpersonal skills to interact with prospective students, parents, faculty, and staff.
- Strong organizational skills with attention to detail.
- Ability to work independently and as part of a team.
- Flexibility to work evenings and weekends as needed to accommodate event schedules .
- Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.
- Ability to effectively present information to top management, public groups, and/or boards of directors.
- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- This position requires the ability and/or skill to work closely and professionally with others as part of a team.
- Work without supervision and demonstrate initiative.
- Communicate professionally through both verbal and written means to internal partners as well as external parties.
- Ability to manage multiple priorities under tight deadlines.
