Assistant Director of Graduate Advising and Student Support
The Assistant Director of Graduate Advising and Student Support enhances the academic and personal success of graduate students. This position will oversee advising strategies, develop support programs, and collaborate with faculty and administration. Serving as the primary advisor for all graduate level students and primary consultant with and provide referrals to other university departments such as academic chairs, academic deans, and vice president, academic affairs. The ideal candidate will possess strong leadership skills, a deep understanding of graduate student needs, and a commitment to fostering an inclusive and supportive academic community.
DUTIES AND RESPONSIBILITIES:
The following are primary duties:
- Maintain systematic and frequent interaction with the master and doctoral student population required to seek advising and maintain accurate and detailed records of student interactions.
- Monitor Student Information System (SIS) processes/reports for tracking doctoral students from admission to graduation.
- Review inactive students on our Learning Management System (LMS) and update academic plans each semester to ensure personalized study plans accurately reflect Leave of Absence, transferred credits, or overloaded schedules.
- Coordinate efforts to encourage student registration for classes fall, spring, and summer.
- Communicate with students to ensure accurate registration, guiding students through the registration process, maintaining academic plans of study, rectify registration errors, and distribute student credentials.
- Assist in the development and implementation of graduate student orientation and transition services.
- Implement an early alert system for at-risk and academically struggling graduate students and recommend interventions and support.
- Work closely with academic departments and university admissions to develop plans in support of graduate student enrollment.
- Facilitate clear, timely, accurate communication, and maintain documentation regarding registration periods and processes.
- Assist doctoral students in navigating university administrative functions and interpreting university policy.
- Serve as an advocate for graduate students.
- Other duties as assigned in support of the Office of Student Life and University events and initiatives.
POSITION QUALIFICATIONS:
The following are primary qualifications:
- Master’s degree required
- Ability to communicate effectively in writing and orally to an adult and/or online student population
- Ability to facilitate virtual meetings using Zoom
- At least one year in an advising, counseling or coaching
- Strong writing, proof reading and editing skills
- Ability to prioritize work, organize materials and tasks and meet deadlines
- Strong problem-solving skills - ability to work independently with a high degree of autonomy, demonstrating good judgement and attention to detail
- Flexibility to meet the needs of a changing environment
- Administrative experience
- Familiarity with Microsoft Suite and Zoom
- Demonstrated flexibility, dedication, initiative, confidentiality and the ability to learn
- Knowledge with Student Information Systems, preferably Jenzabar
