Executive Assistant, Development Operations (Onsite- Laurel, MD)
Reporting to the Vice President Student Services and University Development, the Executive Assistant will be a key role in growing the fundraising program of Capitol Technology University. Coordinates all activities related to the fundraising database including data management, reporting, and data integrity and operations related to implementing campaign strategies. Works in the Executive Suite collaborating with the Executive Administrative Assistant and Administrative Assistant to the Academic Departments to support the executives and Board of Trustees.
- Serves as liaison with vendors; Blackbaud for all products including RENXT, Double the Donation, Live Alumni, and GiveCampus
- Collaborate with the Marketing Team to produce materials (direct mail, social media, and peer to peer giving) in support of campaigns including the annual fund in accordance with the timeline determined by the Vice President of University Development and Student Services
- Coordinates mailings of bulk lists, personal communications, and thank you letters
- Coordinate stewardship activities including student thank you letters to scholarship sponsors, introduction letters to sponsors, major donor update letters, donor recognition
- Coordinate constituent communications directed at alumni and donors on the university website, social media, email, and in print
- Coordinate calling campaigns by preparing scripts, prospect materials, and logistical operations
- Manages all data entry to ensure data integrity including: importing alumni contact information, processing gifts, updating addresses, coding campaigns, solicitations, and gift funds.
- Producing reports related to campaigns and the annual fund
- Create forms for all development activities
- Facilitate positive and effective communication with internal and external stakeholders
- Assist with event planning including benefit events (golf and fall festival), giving days, commencement, alumni receptions, meetings of the alumni association, and board subcommittee
- Assists with team projects at the direction of the Vice President of Student Services and University Development
- Perform administrative tasks including schedule, draft agendas, take notes, and maintain records for standing committees, maintain relevant sections of MyCapitol, assist with expense records, proof and edit university publications, manage important documents, assist with activities related to the Board of Trustees, moderate listserv
Qualifications:
- Experience with Raiser’s Edge preferred, willingness to complete vendor training and certification required.
- Proficiency in Microsoft Office suite and social media channels (Facebook, Instagram, LinkedIn)
- Bachelor’s degree preferred, associate degree required
- Five years of executive office experience preferred, experience supporting administrative operations required
- Demonstrated excellent writing and proofreading
- Demonstrated reasoning and problem solving with a history of actively managing issues until resolved.
- Demonstrated professional demeanor and ability to keep confidences
- Detail oriented and analytical
Physical Demands:
- Requires sitting occasionally for extended periods of time, and repetitive motions for operating computer mouse and keyboard. Hearing and speaking on telephone. Ability to lift, pull, bend, grasp, occasionally lift up to 20 lbs., reach top of four-drawer file cabinet. Attend meetings on various sites on campus.

Compensation and Benefits:
- Salary $55,000 - $65,000 per year
- 14 paid holidays
