The Data Analyst II reports directly to the Manager, Facilities Maintenance. This position is responsible for administering to and coordinating maintenance of new and existing software systems and technology in the administrative and financial systems for Facilities Maintenance. Serve as subject matter expert for CMTA financial modules (i.e., Oracle, Planview), SharePoint, Hexagon EAM, and others. Coordinate the budget development for Facilities Maintenance programs and manage the variance reporting during the fiscal year updating the VP, Manager, and other Departmental personnel on budget status. The Data Analyst is required to work independently under limited supervision of the Manager, Facilities Maintenance with extensive latitude in using initiative and independent judgment to support the Facilities Maintenance team administratively and financially with budget updates, creating and administering to purchase requisitions, benchmarking, quality assurance support, and other assigned facility management related duties.
Responsibilities
WHAT YOU'LL BE DOING

- Provide end-user support for financial modules : Projects, Budgeting, Procurement, and Accounts Payable.
- Manage and support Assets in Hexagon EAM, to include entering / modifying and updating repetitive maintenance cycles, patterns task instruction, serve as the SME for Hexagon EAM.
- Serve as department records management representative and respond to open records requests, maintain records of documents that are archived, retrieved, and returned, and oversee retention and destruction of records according to Capital Metro's policies and procedures.
- Coordinate the management of Facilities Maintenance budget. Monitor and assist in the development of each capital and operating expense budget track expenses per category, provide status, produce reports based on department performance indicators; gather and enter data, generate reports for senior management meetings, and prepare documents as requested. Prepare Facilities budgets within Facilities Maintenance.
- Responsible for reviewing and ensuring timely payment of invoices for goods and services provided to the department.
- Work with the Facilities Maintenance VP, Manager and Project Manager to prepare and maintain contracts and submit to department managers and finance.
- Work with project managers to identify procurement / financial reporting problems and to resolve issues and / or errors prior to advancing information to various departments and / or the Board of Directors.
- Coordinate and oversee the day-to-day management of supplies, equipment, and facilities for the department, as appropriate, to include maintenance, work orders, inventory management, asset management support, energy management support, logistics, benchmarking, quality assurance, security, and related activities.
- Prepare and maintain cost spreadsheets in relation to capital / operational projects and submit to Department VP, Manager and Finance monthly.
- Maintain continuity of work operations by documenting, maintaining, and communicating needed actions to management, discovering irregularities, and determining continuing needs.
- Provide administrative and financial support to VP, Manager, and staff.
- Support service provider RFP process, purchase requisition entries, receiving, and PO reconciliation.
- Support reactive, preventative, and predictive work order triage & assignments, reports, and protocols.
- Provide facilities operations and maintenance support.
- Establish, monitor, and / or maintain property record-keeping system pertaining to warranties, vendor work, preventative maintenance logs, property condition inspections, and building inspections.
- Accountable for real time tracking of non-labor operating expenses excluding rent, to determine variances per expense type and identify discrepancies, corrections, and / or accruals.
- Complete benchmarking for operating expenses and capital initiatives.
- Support 5-year capex planning and tracking for building related projects and asset renewals / replacements as well as all other depreciation projects monthly.
- Support Capital Metro's safety culture by following safety and security policies, considering safety in every action and reporting safety and security concerns.
- Perform other duties as required and / or assigned.

WORK ENVIRONMENT AND PHYSICAL DEMANDS
Work is generally performed in an office environment in which there is only minimal exposure to unpleasant and / or hazardous working conditions. This position works with multiple project timelines and is responsible for managing employees performing work of a complex nature. Incumbent must be able to stand and sit frequently throughout an eight-hour period, reach vertically for overhead use and horizontally. Must be able to use a telephone or headset equipment. Incumbents must be able to lift and move material weighing up to 20 lbs., perform work at a computer terminal for 6-8 hours a day, and function in an environment with constant interruptions. Mobility Status :
As a Mobile position, the incumbent is expected to work in the office as needed. There will be access to touchdown / collaboration spaces when on site. Must be in-office for socialization, strategic collaboration, supervision, oversight, and accountability as needed. CapMetro reserves the right to modify work status based on business needs. This position is based in Austin, Texas. Successful out-of-state candidates must relocate to the state of Texas prior to start date and may have the opportunity to work remotely anywhere in Texas after a specified period.
