Job Title: Desk Assistant (Student Position)
Reports To: Office Coordinator and Assistant Director of Licensing and Marketing
Location: California State University San Marcos - University Village Apartments (UVA), The Quad and North Commons
Compensation: $17.00 per hour. Position not eligible for benefits.
FLSA Status: Student Non-Exempt
Summary:
Duties include answering phones, maintain communication between residents, and the management staff, leasing and touring, problem-solving, checking out equipment, sort and distribute mail, conducting move-in and move-outs, attend and assist with Discover CSUSM, walking units, assisting with administrative tasks.
Essential Duties and Responsibilities:
- Maintaining confidentiality in all matters concerning student/staff discipline and any other matters.
- Always remain in the office unless required to be elsewhere in the community.
- Answering the phones and e-mails professionally.
- Assist RAs with housing questions or protocol at the front desk.
- Respond to inquiries and emergencies from guests, campus police, and other University personnel as requested.
- Give tours and answer various questions regarding the leasing process.
- Checking out equipment from the office area.
- Sorting resident mail and packages.
- Assisting with resident move-in and move-out tasks and responsibilities.
- Assisting residents with work order requests.
- Adhering to employment schedule and dress code.
- Enforcing policies/procedures of the residence halls and the university (including campus, state, and federal regulations).
- Other tasks as assigned.
The staff may be called on to perform additional responsibilities as needed. Staff is required to assist during emergencies such as power outages, storms, fires, etc. As much advance warning as possible for these situations will be given, but staff should be understanding and flexible during emergency situations. After proper training, staff will be responsible for assisting professional staff in working uncovered office shifts and emergency situations, and all other items as assigned.

- High school diploma.
- Must be enrolled to CSUSM for eligibility. Enrollment requirement to be reviewed with the hiring manager.
- Hold a minimum of 2.5 GPA.
- Possess strong communication skills (oral and written), computer competency/skills (Word, Excel, etc.).
- Possess strong customer service skills.
- Ability to move/lift up to 30lbs.
- Must have troubleshooting and diagnostic skills.

Time Commitments
Approximately 10-25 hours a week; varied work week may include weekends and late shift work. Due to varied work schedule availability, taking summer classes is not advised. Work varied office hours to coincide with the front desk schedule. All shifts may be on a rotating basis between UVA/Quad/North Commons staff members. Your work schedule may vary on a day-to-day basis. The designated supervisor must be made aware of in advance other activities that require time away from the community. This includes outside employment, membership in campus clubs/organizations, etc. The expectation is that the Desk Assistant job is the priority over other outside commitments. The UVA will not schedule around outside work commitments in scheduling for this position. Students must fill out a leave request and submit the completed form to their Supervisor, 30 days in advance.
