Job Title: Leasing Office Coordinator
Reports To: Property Manager
Location: Fraternity Row near San Diego State University
Compensation: $19.00-$20.00 per hour, staff apartment and comprehensive benefits package
FLSA Status: Non-Exempt
Summary
Under the direct supervision of the Property Manager, the Leasing Office Coordinator is responsible for supporting management of the community and assisting with operational processes. Responsibilities include, but are not limited to, greeting residents and visitors, answering and directing telephone calls, processing mail/packages, processing work order requests, performing leasing responsibilities, carrying out clerical tasks, such as data entry, typing, filing, copying and faxing; and participating in Professional Staff On-Call duty rotation.
Essential Duties and Responsibilities
Office Administration:
- Act as the first point of contact for visitors, residents, and vendors, ensuring a welcoming and professional environment
- Oversee daily office operations, including scheduling, correspondence, record-keeping, and filing.
- Maintain accurate documentation for leasing and office functions, ensuring compliance and organization.
- Manage office supply inventory and ensure all office equipment is in working condition.
- Facilitate effective communication between residents and management team to resolve concerns promptly.
Leasing Responsibilities:
- Respond to inquiries from prospective residents via phone, email, and walk-ins, providing detailed and accurate information regarding community
- Help prospective residents through the leasing process, from application submission to lease execution.
- Verify applicant documentation and ensure compliance with leasing policies and procedures.
Bookkeeping:
- Assist with accounts payable by processing invoices, ensuring timely payments and accurate record-keeping.
- Maintain accurate financial records including processing resident rent payments.
- Complies with and enforce local and state eviction laws.
Customer Service & Resident Relations:
- Help address resident questions and concerns in a timely manner.
- Facilitate lease renewals by proactively reaching out to current residents regarding renewal process.
- Respond to incidents and write incident reports when required
On-Call Rotation:
- Serve in the professional staff on-call duty rotation.
- This position requires on-site residency or residency within a predictable 30-minute radius of the property to assist with after-hours emergencies.
- Some evening and weekend work may be required.
- Other duties as assigned.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
- High school diploma.
- 2-3 years of apartment clerical office experience or apartment leasing experience.
- Proficiency in Microsoft Word, Excel, and Outlook; ability to operate office equipment including photocopier, fax, and telephone.
- Knowledge and understanding of organization structure, workflow, and operating procedures.
- Knowledge of administrative and clerical procedures and systems such as managing files/records and other office procedures and terminology.
- Good organization and communication skills.
- Must be a team player, we all must work together as we strive to provide the best service possible for our residents & customers.
Work Hours
Monday-Friday: 9:30am-5:30pm. Some evening and weekend hours may be needed. Advance notice will be given. This position will also be on the professional staff duty rotation for a week at a time.
