What are the responsibilities and job description for the Part-time Clerical Assistant position at Carbon County?
OVERALL OBJECTIVE OF JOB:
To perform daily clerical functions for department and assist in the operations of the civil division of the Court of Common Pleas, including being an active Passport Agent for the U.S. Department of State.
QUALIFICATIONS: High school diploma or equivalency. 1 – 3 years working experience in office environment, business and/or bookkeeping capacities is helpful. Or, any acceptable combination of equivalent training and/or education.
ESSENTIAL FUNCTIONS OF JOB:
1. Assist in processing civil filings, including but not limited to time stamping documents, docket entry, filing in the electrevers and scanning.
2. Process, review & transmit passports on a daily basis. Required to take a yearly test to be certified by the Passport Agency.
3. Check to make sure files are current according to computer dockets and are in chronological order.
4. Prepare certified copies of filings for attorneys and/or the public.
5. Acts as the Archives Coordinator and works directly with the Archives Department for retrieval and exportation of files to the department.
6. Ensures all the forms utilized by the office are up to date and readily available on the website.
7. Liaison to the Sheriff’s office to ensure all Civil filings are brought to the Sheriff’s Department in a timely manner.
8. Accurately & effectively dockets all returns from the Sheriff’s Office.
9. Completes extensive filing of individual cases in lektriever system.
WORKING CONDITIONS:
1. Works indoors in adequate office space, lighting, temperatures and ventilation.
2. Works with average indoor office exposure to noise, stress and disruptions.
3. Normal indoor exposure to dust/dirt.
PHYSICAL/MENTAL CONDITIONS:
1. Must be able to sit for long periods throughout the workday, with intermittent periods of reaching, standing, walking, bending, twisting, carrying, pushing, pulling, and stooping as necessary to carry out job duties.
2. Requires coordinated dexterity requirements that range from simple to coordinated movements of fingers/hands, feet/legs, and torso necessary to carry out job duties.
3. Sedentary work, with occasional lifting/carrying of objects with a maximum weight of thirty-five pounds.
4. Must demonstrate emotional stability.
5. Must be able to cope with the physical and mental stress of the position.
6. Must be able to pay close attention to details and concentrate on work.

7. Must possess the ability to perform math calculations and tabulations accurately and with reasonable speed.
8. Must possess knowledge of department procedures in regard to daily duties.
9. Must possess ability to pay attention to details, accuracy and concentrate on work.
10. Must be able to handle high volume and variety of work to be able to switch from one duty to another.
11. Must be able to complete an annual test to be a certified acceptance agent for the US Department of State as a passport agent.
12. Proficient with typing and data entry.
