We are seeking a highly organized and proactive Executive Assistant to support our Executive team. The ideal candidate will possess exceptional administrative skills and a strong ability to manage multiple tasks efficiently. This role requires a professional who can maintain confidentiality while handling sensitive information.
Job Responsibilities:
- As the Executive Assistant you will play a critical role in supporting the CEO in managing their busy schedule and ensuring the efficient operation of the executive office.
- Manage the CEO's complex and frequently changing calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate and schedule meetings, conferences, and events, both internal and external.
- Serve as the primary point of contact for internal and external stakeholders, including screening and prioritizing communications, inquiries, and requests.
- Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO.
- Handle confidential information with discretion and maintain a high level of professionalism and confidentiality.
- Anticipate the needs of the CEO and proactively address administrative issues and concerns as they arise.
- Foster positive relationships with executives, staff, clients, and partners on behalf of the CEO, embodying professionalism, and diplomacy in all interactions.
- Handle front desk responsibilities, greeting visitors and managing inquiries with professionalism.
- Maintain an efficient office environment by organizing supplies and managing inventory.
Job Qualification:
- Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
- Exceptional written and verbal communication skills, including the ability to interact effectively with individuals at all levels of the organization.
- Familiarity with calendar management, travel planning, and expense management systems
- Ability to maintain a high level of professionalism and confidentiality while working in a fast-paced and dynamic environment.
- Strong attention to detail and accuracy in all aspects of work.
- Advanced proficiency in Microsoft Office suite (Microsoft Planner, Bookings, Word, Excel, PowerPoint, Outlook).
- Familiarity with PDF Editing, file format conversion and Adobe Creative Cloud Applications.
- Familiarity with Social Media
