Job Summary:
The Front Desk Associate is responsible for providing exceptional customer service to all hotel guests. This role involves greeting guests, checking them in and out, answering inquiries, managing reservations, and handling payments. The Front Desk Associate plays a key role in ensuring that guests have a positive experience from the moment they arrive until their departure.
Key Responsibilities:
- Guest Check-In/Check-Out:
- Welcome guests upon arrival with a warm and friendly attitude.
- Perform check-in and check-out procedures efficiently.
- Issue room keys, provide information about the hotel, and explain amenities.
- Ensure that all necessary documentation and payment details are obtained.
- Reservations Management:
- Manage and update room reservations through the hotel’s booking system.
- Assist guests with making, modifying, and canceling reservations.
- Coordinate with housekeeping to ensure rooms are ready for guests.
- Customer Service:
- Respond to guest inquiries and requests promptly and courteously, in person, over the phone, or via email.
- Provide information about local attractions, hotel amenities, and services.
- Address and resolve guest complaints or issues, escalating to management when necessary.
- Billing and Payments:
- Process payments for room charges, incidentals, and other services.
- Maintain accurate records of transactions and follow cash handling procedures.
- Handle guest checkouts, including resolving any outstanding charges.
- General Administrative Duties:
- Answer and direct incoming phone calls.
- Manage the front desk’s daily operations, ensuring the area is clean and organized.
- Assist with administrative tasks such as filing, photocopying, and data entry.
- Security and Safety:
- Monitor guest access to the hotel and ensure a safe environment.
- Follow hotel security and safety procedures at all times.
- Report any suspicious activity or safety concerns to the appropriate authorities.
Qualifications:
- High school diploma or equivalent required; additional hospitality or customer service training is a plus.
- Previous experience in a hotel front desk role or customer service position preferred.
- Proficient in the use of computer systems, including MS Office and hotel management software (e.g., Opera, PMS).
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
- Flexibility to work various shifts, including nights, weekends, and holidays.
Working Conditions:
