Position Overview:
We are seeking a dynamic and detail-oriented Office Administrator to oversee the daily operations of our practice. This leadership role is essential in ensuring a supportive team atmosphere while delivering compassionate care to our patients. The ideal candidate will be a proactive problem-solver, skilled in staff management, and committed to fostering a positive work environment.
Key Responsibilities:
● Oversee daily office operations and manage all staff members.
● Deliver quality and compassionate care to every patient.
● Maintain optimal staffing levels through interviewing and selecting qualified candidates.
● Promote staff satisfaction and retention through effective communication, recognition, and teamwork.
● Assess training needs and implement initiatives for staff development.
● Achieve performance targets related to patient forecasts and satisfaction results.
● Ensure the operational readiness and presentation of the office.
● Engage in local marketing efforts and community events to enhance our practice’s image.
● Uphold the highest integrity by adhering to all regulatory and company standards.
● Establish and manage office scheduling, policies, and procedures.
● Co-manage financial operations with the managing physician, including inventory management.
● Lead personnel functions encompassing staffing, training, and performance evaluation.
● Handle payroll, accounts payable, and charge entry while effectively communicating with billing services regarding claims.
● Review financial statements and inventory control reports.
● Track timekeeping for employees and submit daily deposit registers to accounting.
● Conduct staff meetings and address patient complaints and customer service issues.
● Uphold patient confidentiality and comply with HIPAA regulations.
Qualifications:
● Bachelor’s degree with a minimum of 3 years of management experience in healthcare, plastic surgery, or a medspa office setting.
● Proven experience with Commercial Insurance and Medicare/Medicaid billing.
● Strong background in training staff and managing employee relations.
● Proficiency with Electronic Health Record (EHR) systems and knowledge of medical terminology.
● Exceptional organizational and communication skills.
● Ability to manage priorities, operate various office equipment, and utilize computer applications effectively.
