The Dental Office Manager is responsible for overseeing the operation of the dental clinic to ensure patients have good experience and staff have a positive work environment with tools and supplies required to provide great patient care.
The Dental Office Manager must work closely with the Chief Dental Officer, dentists and other employees to help everyone perform their duties effectively. This position may include scheduling patient appointments, establishing staff schedules and performing billing and bookkeeping duties.

Position Responsibilities :
- Include but are not limited to
- Manage dental clinic operations at all dental clinics, including compliance, policy administration, procedures, HRSA and Dental Board regulations and enforcement of dental and organization policies and procedures
- Ensure patient flow and daily operations including patient appointments, cancellations and last-minute adjustments are handled properly. Coordinate with front and back-office professionals to implement best practice processes
- Effectively manage a team of Dental Assistants, providing leadership, guidance and corrective action
- Verify timecards and perform timely payroll processing for all dental department staff. Review and approve time off request for Dental Assistants and work with the Chief Dental Officer on the approval of time off for dentists and hygienist
- Monitor and review staff and departmental schedules on a daily and weekly basis for productivity
- Train and develop Dental Assistants including new hire onboarding and training, professional development, cross training and process improvement
- Oversee and process billing and patient information. Work with finance to resolve billing discrepancies. Accurately submit insurance claims
- Respond to patient queries, complaints and issues. Resolve patient insurance and appointment issues. Verify insurance benefits
- Oversee inventory and supply ordering. Work with vendors to assure best pricing
- Assist in scheduling and organizing outreach events and staffing for events
- Follow and enforce dental office and administrative policies and procedures
- Assist with yearly reports and inspections
- Professionally interact with other department leaders and staff to meet the needs of the organization
- Performs other duties as needed
