Position Summary:
The primary responsibility of this position is to facilitate the daily ordering timeline from start to finish. This position supports inventory excellence by correctly entering and tracking agency orders, donations, and other inventory-related documents. Additionally, this role will collaborate across a variety of departments as it works closely with team members in all three Care and Share distribution centers.
Duties and Responsibilities:
- Assists with maintaining, and monitoring Care and Share’s inventory management, inventory control, and physical inventory counts. Collaborates with the operations team to ensure physical and digital inventory accuracy.
- Facilitates the order processing timeline alongside the Quality Assurance Manager. Troubleshoots issues and makes recommendations for improvements. Collaborates with the operations team to ensure timely and accurate order fulfillment.
- Initiates the daily ordering process. Reviews and corrects order errors. Runs multiple reports to review available products in multiple locations. Combines internal and external orders, adds produce to delivery orders, and removes meat that is over-ordered. Prints Warehouse Activity Plans (WAPs), shipping tags and pick sheets for the Distribution Center Associates.
- Posts inventory picks, invoices agency orders, and creates the manifests for the transportation team.
- Processes all invoice corrections after the volunteers are complete with the audit.
- Processes local route driver IPDs (Incoming Product Donations). Enters the incoming product into the inventory system. Collaborates with the Procurement team to make retail donations more easily accessible for Partner Agencies to order.
- Enters walk-in donations from the community into the inventory system, including donations received from food drives.
- Assists with the processing of United States Department of Agriculture (USDA) product and agency orders.
- Tracks the expiration dates on all products. Communicates with department managers when products are expiring to accelerate outflow and alleviate capacity. Presents food flow information in the weekly Food Flow meeting.
Required Skills/Abilities:
- Advanced with Microsoft Office Suite (Word, Excel, Outlook, Teams, Access).
- Excellent verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Strong analytical and problem-solving skills.
- Ability to function well in a high-paced and at times stressful environment.
Education and Experience:
- Three years of experience in data management required.
- At least one year of inventory experience.
Physical Requirements:
- Prolonged periods of time sitting at a desk and working on a computer and some periods of time walking and standing.
- Must be able to lift up to 15 pounds occasionally.
- Ability to lift up to 50 pounds preferred. This position may be asked to assist with fulfilling agency orders when the operations team is behind. This includes manually gathering and stacking all the products listed on an order sheet onto pallets and maneuvering pallet jacks.
Travel Requirements:
- Required travel would be rare if ever.
