We are seeking an experienced and detail-oriented Office Manager to oversee our billing processes, manage accounts receivable, and ensure seamless communication between clients, caregivers, and internal departments. Job Summary :

The Office Manager will play a crucial role in ensuring accurate and timely billing, managing accounts receivable, and maintaining efficient administrative operations. The ideal candidate should possess excellent analytical skills, a deep understanding of billing procedures, and a proven track record of successfully managing billing and receivables.

Key Responsibilities :

  • Oversee and manage the billing process for home care services, ensuring accuracy and compliance with regulations.

Generate and review invoices, statements, and billing reports to facilitate timely revenue collection.

  • Act as the primary point of contact for billing inquiries, providing exceptional customer service.
  • Resolve billing-related issues promptly and ensure adherence to industry regulations.
  • Maintain accurate client service agreements, verify pricing, and ensure compliance with company policies.
  • Process payments, deposit funds, and accurately post transactions to client accounts.
  • Monitor accounts receivable and implement strategies to minimize outstanding balances.
  • Manage billing software to maintain accurate records of active and inactive clients.
  • Ensure timely submission of third-party billing invoices and track payments.
  • Assist clients with long-term care insurance claims and documentation.

  • Organize and maintain client records, ensuring confidentiality.
  • Monitor business licenses, renewals, and applications for compliance.
  • Oversee administrative procedures to enhance office efficiency and productivity.
  • Manage office supplies, equipment, and inventory, ensuring cost-effectiveness.
  • Maintain company fleet vehicles, track maintenance, and ensure proper registration.
  • Oversee gas card system usage and generate reports for management.

  • Perform other duties as assigned.
  • Qualifications :

  • Minimum of 3 years’ experience in office administration, billing, accounts receivable, and third-party billing.
  • Experience in home care or working with the elder / disabled population is preferred.
  • Strong knowledge of billing processes, financial reporting, and industry regulations.
  • Proficiency in billing software; experience with ClearCare / WellSky is a plus.
  • Excellent analytical, problem-solving, and organizational skills.
  • Strong communication and interpersonal skills to work effectively with clients and team members.
  • Ability to handle sensitive and confidential information with discretion.
  • Proficiency in Microsoft Office Suite, particularly Excel.
