What are the responsibilities and job description for the Executive Assistant to the President position at CARE CENTRAL VNA & HOSPICE, INC?
Responsible for the administrative functions of the executive office. Full time 40 hours position.
DUTIES AND RESPONSIBILITIES: 1. Serves as the primary support personnel to the President / CEO. 2. Responsible for all verbal and written communication related to the routine administrative aspects of the President & CEO’s relationship with the Board of Directors, Board Committees, Senior Management, Leadership group, staff, public and community agencies. 3. Provides executive support on matters relating to the President & CEO’s chief obligations and mandates. 4. Coordinates the President & CEO’s schedule including internal and outside obligations. 5. Arranges meetings and conferences, and processing related functions and documentation. 6. Develops ideas that will streamline work and identifies incidents that require immediate attention in the organization. 7. Monthly, prepares for Board meetings. Collects meeting minutes of each Board and Committee meeting for the central file and distribution to Board members. 8. Produces employee newsletter monthly. 9. Assists with planning of special events and/or projects. 10. Maintains on-line folders for all department policies. 11. Maintains contracts on file and assures updates for expiration dates. 12. Completes recredentialing applications for HMOs for agency contracts. 13. Responsible for maintenance of central office files including state and federal contracts, grants, and agreements. 14. Assists in planning agency Annual Meeting, employee recognition awards, and special events and programs. 15. Revise Marketing Materials if needed. 16. Assists with the operation of the HR department and other programs as appropriate. 17. Reviews newspaper for obituaries or CCVNA news. 18. Writes thank you and acknowledgement letters for CCVNA donors. 19. Prepares folders for memorial donations. 20. Prepares envelopes for employee satisfaction survey responses by CEO. 21. Assists ADH with annual inspection, certification, and any other related administrative matters. 22. Back-ups checks utilizing remote deposit capture. 23. Performs other related functions delegated or assigned. |
