Your Role
Reporting to the Associate Client Care Manager, the Scheduling Coordinator’s main focus is to assign qualified caregivers to clients, ensuring satisfaction and maintaining strong communication within the care team.
What You'll Do
- Strategic Caregiver Matching: Efficiently match caregivers to clients according to their needs and preferences while proactively maintaining a qualified pipeline of caregivers for current and future cases.
- Staffing Ownership & Coordination: Take responsibility for staffing, ensuring timely coverage for all cases, planning backup coverage to prevent disruptions, and quickly addressing schedule changes and caregiver availability issues with professionalism.
- Compliance & Quality Assurance: Monitor caregiver compliance with regulations and company requirements, and conduct audits to ensure adherence to Associate Client Care Manager’s care plans and improve staff-client matching.
- Caregiver Engagement & Relationship Management: Build strong relationships with caregivers through regular communication and create a supportive, engaging culture to improve retention and satisfaction.
- Financial & Operational Performance: Monitor caregiver profit margins and placement efficiency to optimize revenue while ensuring quality care and maintaining a flexible roster to meet client staffing needs.
- Client & Care Plan Alignment: Ensure clear communication of care plans to caregivers and regularly improve staffing processes to meet changing client needs and industry standards.
- After-Hour Coverage & Remote Team Leadership: Take responsibility for managing the remote staffing team after hours, implement protocols for urgent staffing needs, and ensure smooth shift handovers and continuous care.
We’re looking for someone passionate, organized, and ready to make an impact in the healthcare industry. Here’s what you bring to the table:
- Professional Experience
- At least three years of experience as a Scheduling Coordinator in a care-related field
- Requires at least two years of experience in staffing or customer service in a healthcare setting
- Experience in a senior service setting preferred
- Key Skills
- Communication Champion: Excellent communication skills, especially verbal/or communication whilst providing great customer service
- Analytical: A good problem solver and can work with little or no supervision
- Team Player: Can work as part of a team, i.e., an excellent team player with extreme reliability
- After Hours Coverage: Availability during and after hours of operation for emergencies/professional decisions
- Tech-Savvy: proficient with the internet, data entry, and the ability to swiftly move between programs
- Organizational Skills: Maintaining strong attention to detail in recording and while providing accurate and timely data entry and can also have excellent time management abilities
