Where is the work:
This position has been designated as a Hybrid work schedule with work performed onsite at our Tampa Sales office 3 days each week (Tuesdays, Wednesdays, and Thursdays).
Job Summary:
Trane has a new exciting opportunity to join our organization as a Project Administrator in our Florida Region Service group! Under moderate supervision, this position works closely with Project Manager(s), and is responsible for routine project documentation, procurement, job costing, customer invoicing, and administrative closeout of each project. From project award through close-out, portfolio includes multiple projects at different stages of completion. You will be required to closely interact with internal and external customers to ensure the timely completion of each project, to foster a positive culture.
Responsibilities include the following and other duties may be assigned:
- Works with manager to ensure that monthly invoicing targets are met. Ensures that all completed jobs are invoiced promptly and accurately.
- Coordinates with various team members for accurate and timely recording of project costs, including materials, time sheets, labor hour allocation, daily reports, etc.
- Responsible for general administrative functions to include processing service claims – concessions, Ship Product Defect (SPD), retrofit, labor warranty, purchase orders, and initiating invoicing.
- Responsible for generating, interpreting, and printing various assigned reports.
- Communicates effectively with other team members.
- Work closely with account managers, field service foremen and area service manager to manage the flow of jobs once they are completed in the field.
- Cross train for coverage of the Resource Coordinator position when staffing needs arise.
- May include management of service agreement base, invoicing, material and labor costing, and processing new and renewed service agreements.
Qualifications:
- High School diploma or GED and up to two (2) years of related experience and/ or training; or equivalent combination of education and experience
- Must have strong communication skills, proactive approach with willingness to work independently as well as part of a team.
- Demonstrated ability to perform tasks such as problem solving, decision making, rational thinking, and exercising good judgement.
- Experience prioritizing tasks in order to meet tight deadlines within a fast-paced environment.
- Previous experience with financial systems and basic accounting, including accounts receivable and accounts payable, an asset.
- Construction law and regulation knowledge is an asset.
- Familiarity with the operation of HVAC Systems preferred not required.
- Flexibility to work overtime/ weekends, as required.
Base Pay Range: $45,000 - $55,000 / annually. Be advised, this position is eligible for overtime. Disclaimer: This base pay range is based on US national averages. Actual base pay could be a result of seniority, merit, geographic location where the work is performed.
