Our client, a dynamic and growing biopharmaceutical company, is seeking an experienced Administrative Coordinator to provide comprehensive administrative support to the supply chain teams. Responsibilities:
- Provide administrative support to supply chain teams, including calendar management and travel arrangements.
- Manage the onboarding process for new hires and contract workers, scheduling introductory meetings, initiating IT equipment ordering, and assigning workspace.
- Process Purchase Orders (POs) using the SAP system.
- Prioritize workload involving multiple projects and timelines, ensuring deadlines are met.
- Proficient in software programs such as MS Office, Teams, and SharePoint Online.
- Create draft reports, documents, presentations, and templates under the direction of the manager, gathering data as needed through internet searches.
- Coordinate and organize events, handling logistics, including travel, hotel, expense reports, and materials for presentations.
- Liaise with guests, vendors, and suppliers to ensure all event requirements are met.
- Serve as a resource for other administrative assistants and provide backup support for the Administrative Coordinator.
- Influence workflows, keeping the bigger picture in mind to ensure efficiency.
Requirements:
- 5-7 years of progressive administrative experience supporting senior-level management, ideally in a fast-paced environment.
- Strong verbal, written, and interpersonal communication skills.
- Knowledge of administrative and office policies and procedures.
- Proficiency in MS Office Suite, Teams, and SharePoint Online; experience with SAP is a plus.
- Strong proofreading and editing skills for technical documents.
- Ability to work independently with minimal supervision.
- Proven ability to manage multiple stakeholders and priorities efficiently.
- Resilient under pressure with the ability to adapt to changing priorities.
- Comfortable working with ambiguity and in a collaborative team environment.
- A BA or BS degree is preferred; however, a high school diploma with extensive administrative experience will be considered.
Salary:
$35-$40/hr
