Our client, a prominent family office dedicated to social justice, political, and environmental causes, is seeking a highly organized and proactive Chief of Staff. This role will be key in managing daily operations, driving strategic initiatives, and overseeing the launch of a new office space. The ideal candidate has a strong background in operations, project management, and executive support, with the ability to navigate a fast-paced and dynamic environment while ensuring seamless coordination across business and personal interests.
- Please note this role will begin at 20-30 hours per week and transition to full-time as the office is built out. There is a strong possibility of permanent placement. The annual salary range is $150K–225K.
Key Responsibilities :
Oversee the planning, buildout, and operational launch of a new office, including lease negotiations, vendor coordination, infrastructure setup, and space optimization.Establish and implement office policies, procedures, and systems to ensure seamless daily operations.Act as a strategic advisor and right-hand to the principal(s), ensuring priorities are aligned and initiatives are executed effectively.Manage complex calendars, coordinate meetings, and facilitate communication across internal and external stakeholders.Handle highly confidential and sensitive matters with discretion and professionalism.Lead and coordinate special projects across business, personal, and philanthropic interests, ensuring deadlines, budgets, and deliverables are met.Implement project management tools to streamline operations, track progress, and improve efficiency.Develop and maintain reporting structures to provide insights and updates on key initiatives.Work closely with accountants and financial advisors to oversee budgets, track expenses, and ensure fiscal responsibility.Manage vendor contracts, invoicing, and expense reports to maintain financial transparency and efficiency.Serve as a liaison between the family office and household / business staff, ensuring smooth communication and workflow.Support hiring, onboarding, and management of administrative and support staff as needed.Foster a positive and high-performing work environment by improving team coordination and operational processes.Represent the family office in professional settings, serving as a key point of contact for external partners, investors, legal advisors, and vendors.Draft and review correspondence, presentations, and reports on behalf of the principal(s).Ensure clear and effective communication between business operations, personal commitments, and philanthropic initiatives.Qualifications :
5 years of experience in operations, administration, or executive support, preferably in a private family office or a similarly high-level environment.Strong project management skills, with experience in office buildouts, operations, or strategic planning.Exceptional organizational and multitasking abilities, with a keen attention to detail.Strong leadership and decision-making skills, with the ability to execute tasks with minimal supervision.Excellent communication and interpersonal skills, with the ability to liaise effectively across a variety of stakeholders.Proficiency in Microsoft Office, Google Suite, and project management tools (Asana, Trello, Notion, etc.).Ability to adapt quickly, think strategically, and maintain a high level of discretion and confidentiality.Please submit your resume for consideration!
