Our client, a US-based venture capital firm that primarily invests in later-stage, fast-growing technology companies. Is seeking a proactive and highly organized Office Coordinator to support daily operations and ensure a smooth, efficient workplace. As the first point of contact for employees, investors, and guests, you will play a crucial role in maintaining our welcoming and professional office environment. This ideal candidate is a detail-oriented individual with strong multitasking abilities and a passion for organization.
**Please note, this is a part-time, onsite, 4 month contract, onsite role in Menlo Park, CA. Pay will be $33/hr.**
Key Responsibilities
- Maintain an organized, efficient, and well-stocked office environment, including managing supplies, vendor relationships, and office equipment.
- Greet visitors, manage incoming calls, and provide hospitality for meetings and events.
- Assist with scheduling, expense reports, document preparation, and other operational tasks for the team.
- Help plan and execute internal and external meetings, team events, and investor gatherings.
- Coordinate with building management and IT support to ensure smooth office operations.
- Support executives with travel arrangements, accommodations, and itineraries as needed.
- Contribute to a positive workplace culture by organizing team activities and fostering a collaborative office environment.
- Part-time schedule will be Monday - Thursday from 8 AM - 3 PM.
Qualifications & Experience
- 2 years of experience in office administration, operations, or a similar role, preferably in a fast-paced environment.
- Strong organizational skills with a keen eye for detail and a proactive mindset.
- Excellent communication and interpersonal skills, with the ability to interact professionally at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with scheduling tools or expense management software.
- Ability to prioritize tasks, manage time effectively, and adapt to changing priorities.
- A team player with a can-do attitude who enjoys problem-solving and working collaboratively.
