Recruiting/ Administrative Coordinator at Management Consulting Firm
Our client, a top consulting firm dedicated to tech, media, and consumer industries, seeks an exceptional recruiting & administrative coordinator to join their fast-growing team.
About the Recruiting and Administrative Coordinator Role:
- Lead and manage talent acquisition program, including the campus recruiting program (e.g.strategy, timeline, career fair participation, and overall recruitment planning).
- Manage lateral hiring, working with external recruiters to coordinate the hiring process.
- Oversee the candidate screening process, including application reviews and screening calls.
- Serve as the company’s expert and manager of our ATS, managing scheduling, candidate communication, user access, workflows, and reporting.
- Maintain accurate recruitment pipeline data and candidate status updates
- Act as the primary candidate contact, providing information on the application process, interview stages, and offer timelines.
- Build and maintain relationships with target college career services and faculty.
- Manage communications with external recruiters regarding hiring needs, candidate status updates, and interview coordination.
- Schedule and coordinate interviews between candidates, recruiters, and hiring managers.
- Maintain timely and professional communication with candidates including providing updates and answering inquiries.
- Organize and attend on-campus recruiting events.
- Report to and support the Recruiting Leads to help facilitate the recruiting program
- Able to quickly learn and operate our applicant tracking system for scheduling and correspondence with candidates; experience using recruiting software is a plus
- Serve as the tactical lead and organize our college recruiting efforts (e.g. registering and coordinating college career fairs)
- Proficient in setting up and troubleshooting video calls (e.g. Zoom, Microsoft Teams, etc.)
- Provide follow-up correspondence to candidates and recruiters on recruiting status, as well as draft and distribute internal status updates to ensure stakeholders are clear on the workflow, open items, and next steps
- Track recruiting activities, update candidate status, and create/modify job postings
- Coordinate post-interview debrief meetings and provide pre-brief and debrief materials
- Identify opportunities for improving candidate experience and scheduling efficiency
- Excellent written communication skills for interview coordination
Additional Responsibilities:
- Plan and manage social event calendar (for events ~once every 1-2 months), including vendor coordination and team participation.
- Assist with daily office operations, including visitor reception, meeting preparation, package handling, catering, and providing backup for the Office coordinator.
- Coordinate with the administrative team regarding interview and meeting scheduling.
Qualifications:
- Bachelor’s Degree
- Demonstrated experience in attracting talent on campus from prestigious top-tier institutions and
- experienced hires leveraging recruiting firms and other recruiting sources such as LinkedIn.
- Bachelor’s Degree and a minimum of 2 years of experience in the Consulting/Technology recruiting field.
- Committed to working in person on a hybrid schedule at minimum; and during busy times, able to put in extra effort as needed
- Flexible and can multitask in a fast-moving environment
- Express flexibility, openness, and commitment to work on special projects and/or support in all administrative matters
- Complete projects on time in an effective and efficient manner; keeps everyone apprised of the status
- Strong organizational skills that reflect the ability to calmly perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Proactive in problem-solving, decision making, and professionally handling conflict resolution in a positive manner
