This position will cover multiple tasks that overlap within the HR and Accounting Departments. This position is responsible for collecting, analyzing and processing the bi-weekly payrolls. They are also responsible to provide an open line of communication between employees and the payroll department. In addition, the position will assist the Accounting Department with Accounts Payable. Most important is the necessity to maintain a high degree of professional judgement, integrity, confidentiality, communication skills and initiative to ensure employee and management confidence.
Duties & Responsibilities:
HUMAN RESOURCES & PAYROLL
- Collect needed documentation for processing bi-weekly payrolls. Follow-up with managers and employees to reconcile any questions prior to submission for processing
- Ensure back-up paperwork has been received for all absences (Notice of Absence, Return to work forms, etc.)
- Preparation of payroll submission
- Run and Review payroll service reports and verify for accuracy
- Communicate with employees and/or management on payroll related projects or inquiries
- Calculate and produce manual checks when required.
- Maintain attendance records & reconcile to payroll service records each payroll period
- Post payroll data to QuickBooks
- Submit necessary information to comply with bank ‘Positive Pay’ process
- Process 401(k) deferral submissions to TPA-Ascensus following each payroll
- Process invoices for agency worker staff and non-employees (backup & approvals) and generate payment when due.
- Handling of copy, scanning & email functions as needed for the payroll department
- Assist HR manager with varied tasks as requested
Accounting
- Process invoice for payment (ensure back up documentation and approval)
- Generate payment of vendor invoices in a timely and efficient manner (weekly)
- Analyze and classify various credit card charges for entry into ABAS
- Issue Stop Payments as needed or requested
- Scan all check payments for the above companies/bank accounts.
- Post invoices for RJW logistics
- Reconcile monthly RJW logistics account statement
- Assist Accounting manager is various tasks or projects as time permits
