The Payroll Manager is a critical role responsible for the accurate, timely, and compliant processing of payroll for all employees. This position demands a deep understanding of payroll principles, federal, state, and local tax regulations, and accounting practices. The Payroll Manager oversees the entire payroll cycle, from time and attendance collection to tax filings and reporting, ensuring adherence to all legal requirements and internal policies. This role also involves managing payroll systems, resolving employee payroll inquiries, and contributing to process improvements.

Your Impact on Career TEAM's Success:

Payroll Processing:

  • Manage the complete payroll cycle, including:
    • Collecting and verifying employee time and attendance data from various sources (e.g., time clocks, timesheets, online systems).
    • Calculating gross pay, deductions (e.g., taxes, benefits, garnishments), and net pay.
    • Processing payroll through the company's payroll system, ensuring accuracy and adherence to deadlines.
    • Generating payroll reports and distributing pay stubs to employees (electronically or physically).
    • Managing off-cycle payroll runs (e.g., bonuses, terminations).
  • Ensure accurate processing of various pay types (e.g., hourly, salary, commission, bonus, overtime, holiday pay, PTO).
  • Maintain meticulous payroll records and documentation in accordance with legal and company requirements.
Tax Compliance:

  • Ensure strict adherence to all federal, state, and local tax regulations related to payroll, including:
    • Accurately calculating and withholding federal income tax, state income tax, FICA (Social Security and Medicare), FUTA (Federal Unemployment Tax Act), and SUTA (State Unemployment Tax Act).
    • Preparing and filing all required tax forms and reports (e.g., W-2s, W-3s, 941s, 940s, state unemployment tax returns, local tax forms).
    • Reconciling tax withholdings and payments with tax authorities.
    • Managing and resolving any tax notices or inquiries from federal, state, or local tax agencies.
    • Staying abreast of changes in tax laws and regulations and implementing necessary updates to payroll processes and systems.
    • Managing year-end payroll processing and reporting, including W-2 reconciliation and distribution.
  • Work with external tax advisors or consultants as needed.
Benefits Administration (Payroll Related):

  • Manage payroll deductions for employee benefits, including:
    • Health insurance premiums, retirement plan contributions (401(k), health savings accounts (HSAs), and other voluntary deductions.
    • Ensuring accurate calculation and remittance of benefit deductions to benefit providers.
    • Reconciling benefit deductions with benefit providers and resolving any discrepancies.
Reporting and Analysis:

  • Generate various payroll reports for management, including:
    • Payroll summaries, tax reports, labor cost reports, overtime reports, and other customized reports as needed.
    • Analyzing payroll data to identify trends, anomalies, and potential cost savings.
    • Preparing journal entries for payroll expenses and reconciling payroll accounts with the general ledger.
  • Conduct regular audits of payroll data to ensure accuracy and compliance.
System Management:

  • Manage and maintain the company's payroll system (ADP Workforce Now)
    • Ensuring system configuration is accurate and up-to-date.
    • Troubleshooting system issues and working with IT or vendors to resolve problems.
    • Implementing system upgrades and enhancements.
    • Maintaining data integrity and security within the payroll system.
Compliance and Auditing:

  • Develop and implement internal controls and procedures to ensure payroll accuracy and compliance with all applicable laws and regulations.
  • Conduct regular self-audits of payroll processes and records to identify and correct any potential issues.
  • Coordinate with internal and external auditors during payroll audits.
  • Respond to and monitor Garnishment requests from state, federal and private requestors.

Employee Support:

  • Serve as the primary point of contact for employee payroll inquiries, providing timely and accurate responses to questions regarding paychecks, taxes, benefits, and other payroll-related matters.
  • Educate employees on payroll processes and policies.

Other Duties:

  • Approach each day and task with a "ZAG" mindset.
  • Other duties and projects as needed.

The Ideal Qualifications for this Position Include:

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • 4 years of progressive experience in payroll processing, tax compliance, and payroll system management.
  • Expert level working knowledge of MS Excel.
  • Excellent communication, both written and verbal.
  • In-depth knowledge of payroll principles, tax laws (federal, state, and local), and accounting practices.
  • Expertise in federal, state, and local tax regulations related to payroll, including wage and hour laws.
  • Proficiency in payroll systems and software (ADP Workforce Now preferred)..
  • Strong analytical, problem-solving, organizational, and time-management skills.
  • Excellent communication, interpersonal, and customer service skills.
  • Ability to work independently and as part of a team.
  • High level of accuracy, attention to detail, and confidentiality.

Salary: $70,000 - $80,000 annually, commensurate with experience
