Position Overview
We are seeking an experienced Billing Coordinator to join our finance team. This position prepares attorney billing (both electronic and paper), reviews files to ensure accuracy and compliance with billing guidelines, and follows up internally and externally as needed. The coordinator also monitors billing progress so that line items are captured and work in progress and other key components of the process are billed timely. Performing conflict searches may also be an essential function of the job.
Responsibilities
Process and prepare approximately 500-700 invoices per month
Review pre-bills for accuracy and compliance with client billing guidelines
Handle both standard paper billing and electronic billing (e-billing)
Communicate with attorneys regarding billing questions and issues
Follow up on rejected bills and resolve discrepancies
Monitor billing progress and ensure timely submission
Maintain accurate records of invoices and supporting documentation
Escalate problems in a timely manner
Ensure timely communications to all appropriate parties including supervisors, attorneys, and clients
Support other finance team members as needed
Requirements
Law firm experience in a billing capacity is strongly preferred
Experience with Elite or 3E accounting system preferred
Proficiency with e-billing platforms and processes
Strong attention to detail and follow-up skills
Self-starter who is comfortable managing multiple tasks independently
Ability to handle a large volume of billing from initial matter intake through final bill production and submission
Proficiency in Microsoft Office (Word, Excel, Outlook)
Strong organizational skills and ability to prioritize matters and work within time constraints
Outstanding written and oral communication skills
High school diploma required; additional education preferred
