We are seeking a highly organized and detail-oriented Administrative Assistant to join our physician practice. The ideal candidate will provide administrative support to the Chief Medical Officer, Director of Physician Services and BRMG staff physicians , ensuring smooth day-to-day operations of the practice. This role requires excellent communication, time management, and multitasking abilities, as well as a strong understanding of medical office operations and patient care.
Responsibilities:
- Corresponds and interacts with all levels of management and staff, as well as with internal and external physicians and their office personnel in a professional manner.
- Initiate the credentialing process for new healthcare providers, including physicians, nurse practitioners, or other medical professionals. Gather necessary documentation, including medical licenses, education, board certifications, malpractice insurance, and other required paperwork.
- Assist healthcare providers in the enrollment process with insurance payers (e.g., Medicare, Medicaid, private insurers) to ensure they are added to insurance networks.
- Perform data entry tasks, including entering patient information, medical history, and billing data into the practice management system. Organize and file patient records.
- Answer phone calls, schedule appointments, and provide necessary information regarding medical services and office policies.
- Assist with office organization, inventory management, and procurement of office supplies. Maintain office equipment and ensure it is functional.
- Ensure all patient and office records are maintained with confidentiality, adhering to HIPAA and other healthcare regulations.
- Assist the Physicians, APPs and Leadership as needed on special projects
- Maintains calendars, schedules meetings, assists in Power Point preparation for physician staff.
- Perform various office tasks, including preparing forms, managing incoming and outgoing mail, and faxing.
Qualifications:
- High school diploma or equivalent; Associate degree in healthcare administration or a related field preferred.
- Proven experience as an administrative assistant, preferably in a healthcare or medical office setting.
- Strong knowledge of insurance credentialing processes and basic office procedures.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook), and experience with electronic health records (EHR) or practice management software.
- Ability to manage multiple tasks, work under pressure, and meet deadlines.
- Strong attention to detail and ability to maintain confidentiality.
- Friendly and professional demeanor with people.
