Job purpose
The Quality Document Control Specialist is responsible for maintaining organized and updated documents for business. The duties include gathering, circulating and managing documents and files required for orders, customers, suppliers, member plants and the technical services department. Additional assistance to the technical services team includes helping in all aspects of projects as needed to accomplish department goals and being the primary Safety Chain resource.
Duties and responsibilities
Order Processing Documents:
Request analysis samples from plant members and manage results.
Maintain concentrate retain samples, coordinate testing, and manage results.
Generate COA’s for all non-dried fruit orders.
Maintain accessible HS code documents.
Customer Service Documents:
Supply specifications, Kosher certificates, statements, audits, and surveys.
Upload customer requirements on various online platforms.
Member Plant Documents:
Work with members to draft corrective action plans to customer complaints.
Review label proofs for errors and coordinate review and approval with members as needed.
Complete process surveys.
Technical Services Documents:
Manage batch formulas from R&D.
Create nutritional labels using ESHA-Gensis software to meet FDA regulations.
Create and maintain internal specifications for all products sold.
Maintain updated copies of all customer specifications.
Maintain spreadsheet summarizing all customer testing requirements.
Create and maintain UPCs and GTINS for retail items.
Respond to all
Log and trend complaints with monthly reporting of results.
Log and trend analysis results (pesticide, microbial, heavy metals).
Additional Responsibilities:
Field consumer calls, document, and follow through as needed.
Handle consumer insurance claims.
Aid R&D with prototype development.
Assist with shelf-life tests and internal product cuttings.
All other duties as assigned.
Qualifications
Qualifications include:
- 2- or 4-year degree in food science, microbiology or related field.
- Microsoft Word, Microsoft Excel, and ESHA -Genesis
- Attention to detail
- Time Management Skills
- Organizational Abilities to feed information through multiple paths
- Team player working with time sensitive information
- Strong analytical skills
- Good judgement
- Strong communication skills
- Technical writing skills
- HACCP certification
- Food Industry experience preferred
- FDA label creation experience preferred
- SQF experience a plus
Working conditions
Office environment with help in a lab and kitchen required. Off site errands required and potential for member plant and customer visits.

Some light lifting, lab and kitchen work, and cleaning required
