What are the responsibilities and job description for the Office Assistant (Part Time/Onsite) position at Caregiver Training Institute?
The part time Caregiver Training Institute Office Assistant provides business office and program support to the campus Program Director through a variety of clerical and secretarial processes.
Pay: $20.00 per hour up to 20 hours per week onsite.
Office Assistant Responsibilities may include, but are not limited to:
- Performs standard clerical and secretarial work tasks to prepare and maintain accurate record keeping systems and data files.
- Greets campus visitors and students, providing requested information, or directing them to the correct location or individual to provide any necessary support or services.
- Assists with skills lab laundry processing.
- Assists in mail pick up and distribution, and the flow of correspondence.
- Assists in receiving enrollment paperwork, eligibility documentation, clinical clearance documentation from prospective or active students, as needed.
- May follow up on absences, and schedule class make-up time with students, as assigned.
- May prepare and maintain virtual class recordings for storage, as assigned.
- Prints and distributes class materials, as assigned.
- May assist in ordering, receiving, stocking and distribution of office, classroom/lab and student lounge/staff break room supplies, as assigned.
- May run errands to the post office, bank, or to vendors to pick up supplies, as assigned.
- Other duties as assigned.
Requirements of the CTI Office Assistant:
- A high school diploma or equivalent is required; bachelor’s degree is a plus.
- A minimum of one (1) year general office clerical experience is required; related office experience in a secondary or vocational school environment is highly desired.
- Operating knowledge of and experience with typical office equipment, including copy/fax machines, business phone systems, and credit card transaction processing.
- Proficiency in using a PC, Windows OS, related technology, and pertinent software applications including MS Office, Gmail, and Zoom.
- Basic math and accounting skills.
- Excellent written and verbal communication skills, phone and email etiquette.
- Excellent customer service and public relations skills, exhibiting a positive attitude with all students and colleagues.
- Able to manage multiple tasks; meet deadlines; perform well under pressure; and work with frequent interruptions.
- Must be able to sit, stand, physically reach & lift up to 50 pounds, climb stairs, bend, crouch, hold, and squat, as needed.
- Must be willing to work up to 20 hours a week including weekends on occasion.
