POSITION TITLE: Medical Administrative Assistant
REPORTS TO: Chief Administrative Officer
CLASSIFICATION: Non-Exempt

The Medical Administrative Assistant will support the Chief Health Officer and the Medical Officer by performing complex administrative activities that require independent initiative and excellent judgment. The position is highly visible and requires a consummate professional demeanor and working with high-level executives. This position is responsible for demonstrating the core values of CareSTL Health: Customer Service, Community, Commitment, Compassion, and Competence.
ESSENTIAL FUNCTIONS:
The following information is considered the definition of essential functions but does not restrict the tasks that may be assigned. The Medical Administrative Assistant may be reassigned duties and responsibilities at any time due to reasonable accommodation or other staffing reasons.
- Provide administrative support to assigned team members, which includes scheduling, meeting coordination, material preparation, data entry, making travel arrangements, and processing expense reports.
- Handles incoming phone calls, correspondence and emails, identifying critical items for action and quickly prioritizes and initiates preliminary materials needed.
- Coordinates meeting and event registration and logistics, which includes securing a space, arranging for refreshments, preparing materials and confirming participant reservations and attendance.
- Be responsible for all filing in the Medical unit and occasional filing in the Administration
- Attends board meetings for the purpose of taking minutes, transcribing and typing, being mindful of confidentiality in all matters
OTHER FUNCTIONS
- Manage Provider PTO & CME requests
- Assist with onboarding medical students and volunteers
- Manage provider appointment schedules
- Assist with processing incoming and outgoing mail
- Responsible for preparing reports and presentations as assigned
- Responsible for tracking data that may include: Quality Assurance, provider productivity, provider score cards, DVRS, time and attendance
- Assist in meeting arrangements, scheduling, reservations, communications, etc.
- Prioritizes and routes incoming mail and documents.
- Keeping abreast of important health-related policy issues on the local, state, and federal level.
- Any additional duties as assigned.
JOB REQUIREMENTS AND QUALIFICATIONS:
Education:
- High School Diploma or GED required
- Associates or Bachelor’s degree preferred
Experience:
- A minimum of 2 years of related experience required
Knowledge, Skills and Abilities:
- Must be able to maintain confidentiality
- Must be able to type accurately at least 45 WPM
- Knowledge of office procedures required
- Must have the ability to meet the public and handle all tasks with tact and courtesy
- Must have the ability to follow oral and written directions
- Must possess very strong verbal and written communication skills
Transportation Requirement:
- Must have Reliable Transportation
