Job Overview
Position Summary
Perform day-to-day operations in processing the company’s payroll, for 300 employees. This role is responsible for accomplishing all payroll objectives and working with external auditors, state and federal agencies, as well as engage in daily interaction and provide key support to our internal team and external customers.

PAYROLL and WORKMANS COMP OPERATIONS:
- Utilizing SAGE 300 CONSTRUCTION (formerly Timberline Office) you will oversee day to day payroll department operations including entry, changes, new hires, etc.
- Supervise and mentor Payroll/HR Assistant
- Compile payroll data such as garnishments, vacation time, insurance and 401(k) deductions
- Manage workflow to ensure all payroll, benefits and deductions are processed accurately and timely
- Pull electronic time (Workmax software) and review the downloaded information for completeness and accuracy
- Set-up and train end user on Workmax software
- Manage Pay Card (ADP) program
- Troubleshoot payroll discrepancies
- Contact various department supervisors for any missing time sheet, discrepancies, terminations, etc.
- Assist with administration of workers compensation claims, questions, and reporting
- Work closely with department heads and employees on payroll discrepancies’
- Assist employees with questions regarding payroll deductions, taxes, changes, etc.
ADMINISTRATIVE RESPONSIBILITIES
- Process weekly transfer of payroll data to Sage
- Compile internal reports from payroll system software and compile data for department metrics
- Preparing weekly payroll budget analysis (Actual vs. Budget) including ensuring that all employees are classified in their proper departments
- Process accurate and timely quarterly and year-end reporting when necessary (5500 filing, ACA, W-2’s. etc.)
- Develop ad hoc financial and operational reporting weekly or as needed
- Manage vacation accrual/balances
- Employment verifications
- Backup for the eVerify process
- Other duties assigned by management
Knowledge/Skills/Abilities/Competencies
- This position requires an individual that is extremely detail oriented with significant knowledge of payroll, including state and federal regulations
- Working Knowledge of Sage 300 (Timberline), a time and attendance system, and paycard system
- Thorough understanding of proper payroll taxes deductions
- Demonstrated PC skills including expert proficiency in Excel
- Strong work ethic and team player
- High degree of professionalism and ability to deal with sensitive and confidential material
- Strong interpersonal (verbal and written) communication skills and ability to communicate with various levels of management
- Outstanding solutions-oriented customer service skills for internal and external customers
- Decision-making, problem-solving and analytical skills
- Organizational and multi-tasking skills with the ability to handle competing priorities
- Confident and self-motivated with the ability to work with general supervision
Education/Experience/Licenses
- High School Diploma or GED required – any college - preferred
- 3 year’s experience in processing payroll – required
- Bilingual English/Spanish - required
- 3 years experience in payroll taxes deductions per state - required
- 3 year’s expert level experience in Excel - required
- Working knowledge of Sage 300 (Timberline), Workmax, ADP Pay Card – strongly preferred
- Experience and knowledge of benefits and 401K administration - preferred
Supervisory Responsibilities
Will provide daily direction and mentorship to the hr coordinator

Physical Requirements
- Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and small carry parcels, packages and other items, to walk short distances, and may drive a vehicle to deliver and pick up materials
