POSITION SUMMARY:This position provides support to patient care through the performance of administrative tasks and implementation of established policies and procedures through Front Desk operations. Ensures the smooth and efficient running of the front office and reception while fielding in-person patients and telephone interactions related to scheduling and patient problem solving. Schedules and confirms patient appointments, gathers and enters demographic information in the patients record, collects payment for visits, assists with correspondence, checks patients out after treatment, handles petty cash and more.
QUALIFICATIONS:
Education
- High School Diploma Required.
Experience
- One-year prior experience with patient/medical front desk operations required.
- Experience with Athena EMR preferred.
Special Skills
- Flexible disposition required to actively adopt ever shifting front desk operation tasks.
- Able to read, speak and write English fluently required. Spanish or other language fluency preferred.
- Strong customer service focus required.
- Effective verbal and written communication skills required.
- Organized, flexible and able to manage competing priorities required.
- Evidence of sound judgment required.
- Resourcefulness and patience in problem solving required.
- Able to take and follow through with delegated tasks and accountability required.

ESSENTIAL DUTIES and RESPONSIBILITIES:
- Welcomes patients and visitors by greeting in person or on the telephone; answering or referring inquiries.
- Serves as a customer service champion and often first impression for Careteam plus.
- Completes appointment scheduling tasks including but not limited to appointment reminder calls & text messaging, rescheduling missed/no-show appointments, scheduling & rescheduling appointments at request of patient or provider, documents appointment cancellations, managing appointment recall list.
- Assists with the capturing of patient referral source information.
- Promotes and encourages patient portal enrolment to enhance communications and customer service.
- Tactfully manages the co-pay collection or linkage to a payment plan at time of appointment.
- Manages protocol for late and no-show patients rescheduling and movement.
- In accordance with established policies and procedures, completes registration, check-in, check-out and time of service monetary collection procedures for scheduled appointments.
- Accurately receive and post patient account payments, including time of service or payments on balances due, in accordance with established policies and procedures
- Serves as the lead to bridge communications between the front and the back (clinic)
- Maintains accurate cash drawer and daily reconciliation log
- Maintains accurate electronic medical record, PM, and performs tasks in EHR support of patient care.
- Secures patient information and maintains patient confidence by safeguarding PHI in accordance with established policies, procedures and HIPAA regulations.
- Maintains safe, secure, and healthy work environment by implementing and following established policies and procedures and complies with regulatory guidelines
- Ensures neatness, cleanliness and overall positive appearance of the entrance, front desk and patient waiting areas.
- Maintains supplies inventory by checking stock to determine inventory level and requesting additional supplies as needed.
- Comply with all safety policies, practices and procedures. Report safety concerns to leadership.
- Participate in proactive team efforts with clinic staff and recognizes the integral relationship between the two areas (one team).
- Careteam staff work together as a team and help each other and patients/clients by performing other duties as assigned.

Tues 8-6p
Wed 8am to 8pm (when working this shift will flex out on othr day(s) during the same week or late start)
Fri 8a to 1p
