Export Documentation Specialist
The position of Export Documentation Specialist with CargoLoop, LLC requires certain knowledge and skills in order to be successful. Generally, this position requires the following skills:
Customer Service- Knowledge of principles and processes for providing customer service. This includes internal and external customer needs assessment, meeting quality standards, and evaluation of good customer service.
Interpersonal skills – Interaction with clients and staff appropriately, depending on the situation, culture, and position, and ability to get along with others while getting the job done effectively.
Data Entry – Using various computer and online programs to enter new data and update the current data set to reflect changes in day-to-day operational changes
Active Learning- Understanding the implications of new information for both current and future problem solving and decision making.
Active Listening-Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
Critical Thinking- Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, and approaches to problems.
This position is responsible for all aspects of export documentation with regard to the loading terminal.
Responsibilities
- Create and submit shipping instructions to shipping lines by the required deadline
- Create dock receipts, letters of intent, bills of lading
- File export declarations on the US Customs ACE website
- Courier titles to the local US Customs office for validation
- Receive vehicle titles and manage customer title files
- Follow up on missing information required for the above (e.g. consignee information, bills of sale, titles, lien releases, etc.)
- Coordinate any changes to shipping instructions requested from account managers and clients
- Review Bills of Ladings from shipping lines and upload to CargoLoop LLC tracking system
- Manage shipment files
Requirements
- Fluent English
- Preferred Lithuanian, Ukranian, Russian, Spanish language but not required
- Associate’s Degree preferred
- 2 years’ experience in Export Documentation or related field desired
- Excellent interpersonal and communication (written and verbal) skills
- High level of attention to detail
- Follow through and complete tasks on time
- Must be well organized
- Strong computer skills, including Excel, Word, and Internet applications
- Quick learner
- Valid Drivers License
Work Hours: 9:00 AM – 5:00 PM
