The HIM Supervisor is responsible for overseeing and supervising the daily operations of the coding team, which includes HIIM staff. This role ensures that all coding processes are completed accurately, efficiently, and in compliance with healthcare regulations and standards. The HIM Supervisor will provide leadership, guidance, and training to the coding staff, monitor departmental workflows, and ensure that coding quality standards are met. The supervisor will work closely with other departments and healthcare providers to address coding issues, ensure proper documentation, and maintain compliance with regulatory requirements.

Core Responsibilities:

1. Supervisory Leadership:

  1. Supervise the daily activities of HIM staff, ensuring that all coding tasks are completed in a timely and accurate manner.
  2. Provide leadership, mentorship, and training to coding staff, helping them stay current with coding regulations, guidelines, and best practices.
  3. Set performance expectations and conduct regular performance evaluations for coding team members.
  4. Address and resolve any issues related to coding discrepancies, staff performance, or department operations.
  5. Foster a collaborative and positive team environment that promotes continuous learning and professional development.

2. Coding Oversight and Quality Control:

  1. Monitor coding accuracy, ensuring that all outpatient, ER, inpatient, outpatient surgery, and swing bed records are coded in accordance with ICD-10, CPT, and HCPCS standards.
  2. Conduct regular audits and reviews of coded records to ensure compliance with CMS regulations, payer requirements, and industry coding standards.
  3. Assist coders with difficult cases, including providing clarifications and resolving coding issues that may arise during the coding process.
  4. Ensure proper assignment of DRGs (Diagnosis-Related Groups) for inpatient and swing bed cases.

3. Departmental Workflow and Efficiency:

  1. Oversee coding workflow and prioritize tasks to ensure timely coding and billing processes.
  2. Monitor and address unbilled accounts and ensure coding deadlines are met.
  3. Ensure proper use and maintenance of Electronic Medical Records (EMR) systems and coding software.
  4. Collaborate with other healthcare departments (e.g., clinical, billing, and compliance) to address coding-related issues and improve workflow efficiencies.

4. Training and Education:

  1. Develop and implement ongoing training programs for HIM staff on coding guidelines, medical terminology, documentation requirements and updated coding systems.
  2. Stay current on updates to coding systems (ICD-10, CPT, etc.) and regulatory changes, communicating this information to the coding team as necessary.
  3. Organize and lead regular meetings with the coding team to discuss coding issues, updates, and best practices.
  4. Provide feedback and support to coding staff to promote skill development and adherence to departmental standards.
  5. Provide education to all providers on clinical documentation requirements and plan for improvement.

5. Compliance and Reporting:

  1. Ensure that coding processes and practices comply with federal, state, and payer regulations.
  2. Work closely with compliance teams to address any audit findings and implement corrective actions.
  3. Assist in the preparation of departmental reports for management, highlighting coding productivity, quality metrics, and areas of improvement.
  4. Maintain up-to-date knowledge of CMS regulations, payer requirements, and other healthcare compliance standards.

6. Collaboration and Communication:

  1. Serve as the primary point of contact for coding-related queries from physicians, clinical staff, and other healthcare providers.
  2. Collaborate with the billing department to ensure that claims are correctly coded and processed for reimbursement.
  3. Address coding queries and resolve issues by working with medical staff to clarify diagnoses and procedures.
  4. Communicate effectively with other departments to ensure smooth coordination and timely resolution of coding issues.

7. Continuous Improvement:

  1. Implement quality improvement initiatives to enhance coding accuracy, efficiency, and productivity.
  2. Track key performance indicators (KPIs) related to coding productivity, accuracy, and timeliness.
  3. Lead efforts to optimize the use of technology and software tools to improve coding workflows and accuracy.

Work Environment
This job operates in a hospital setting.  This role requires regular walking to various locations around the hospital.  This role may come in contact with patients who may have contagious illnesses.
