Job Description:
We are seeking a highly organized and detail-oriented Lead Scheduling Coordinator to oversee scheduling operations for our Clinical Services, Residential Services, and Detox Services. This leadership role is critical in ensuring the seamless coordination of patient appointments, staff schedules, and overall operational efficiency. The Lead Scheduling Coordinator will provide oversight, support team members, and implement best practices to optimize scheduling processes.
The ideal candidate will have strong organizational and leadership skills, the ability to communicate effectively with patients and staff, and a background in healthcare administration or scheduling. Experience in a medical or behavioral health setting is preferred but not required.
Key Responsibilities:
- Oversee and manage the scheduling of patient appointments across Clinical Services, Residential Services, and Detox Services.
- Lead a team responsible for coordinating provider, therapist, and staff schedules to align with facility resources and patient needs.
- Serve as the primary point of contact for scheduling concerns, troubleshooting conflicts, and implementing solutions.
- Ensure accuracy and efficiency in scheduling systems and databases.
- Develop and implement scheduling policies and procedures to improve operational workflows.
- Communicate effectively with patients regarding appointments, confirmations, and reminders.
- Collaborate with department leads to optimize service delivery and resolve scheduling conflicts.
- Assist in the preparation and dissemination of patient documentation as needed.
- Provide training and ongoing support to scheduling staff.
- Ensure compliance with HIPAA regulations and patient confidentiality policies.
- Perform additional administrative duties to support the clinical team as necessary.
Position Requirements:
- Must be at least 18 years of age.
- High school diploma or equivalent (required); Associate’s or Bachelor’s degree in healthcare administration, business, or related field (preferred).
- Minimum of 2 years of experience in scheduling, healthcare administration, or a related field.
- Previous leadership or supervisory experience is highly preferred.
- Strong organizational and multitasking abilities with excellent attention to detail.
- Effective verbal and written communication skills.
- Ability to work independently while also leading a team.
- Proficiency with scheduling software, electronic health records (EHR), and office systems.
- Ability to maintain a professional and calm demeanor in a fast-paced environment.
- Knowledge of HIPAA regulations and patient confidentiality standards.
Physical Requirements:
