Position Description

 

As Manager, Surgical Case Onboarding, you will be responsible for leading the centralized onboarding process for surgical cases, ensuring a streamlined, consistent approach across all pre-surgical activities. This role involves coordinating between various departments to manage logistics, standardize workflows, and enhance communication with key stakeholders. The Manager will implement best practices for surgical case onboarding, uphold compliance with regulatory requirements, and drive continuous improvements to ensure a high-quality, efficient experience for all involved.

 

Responsibilities


  1. Centralized Onboarding Coordination
  • Oversee the entire onboarding process for surgical cases, from initial information gathering to pre-surgical logistics coordination.
  • Ensure all case details (patient requirements, inventory needs, surgical team coordination) are accurately and consistently captured and shared.

    2. Workflow Standardization

  • Develop and implement standardized processes and workflows to create a seamless onboarding experience.
  • Identify and remove redundancies, optimize processes to improve efficiency and reduce errors.

         3. Cross-functional Communication and Collaboration

    • Serve as the primary point of contact for sales teams, clinics, and other stakeholders to provide case updates, address queries, and clarify requirements.
    • Collaborate closely with inventory management, logistics, and regulatory teams to ensure that all aspects of each surgical case are prepared according to schedule.

          4.  Compliance and Quality Assurance

    • Ensure that all onboarding activities adhere to regulatory and quality standards, particularly those governing medical devices and patient data privacy.
    • Conduct regular audits and quality checks to verify compliance and identify areas for improvement.

        5.  Data Management and Reporting

    • Oversee the use of centralized systems and databases to capture all surgical case details, allowing for real-time access and visibility.
    • Generate reports on case onboarding metrics (e.g., onboarding time, accuracy, errors) to monitor performance and support data-driven improvements.

        6.  Continuous Improvement

    • Identify and implement process improvements to enhance the case onboarding experience.
    • Drive initiatives to integrate new technologies, tools, or methodologies that can improve workflow efficiency, reduce manual workload, and increase onboarding accuracy.


    Qualifications:

    • Bachelor’s degree in Healthcare Administration, Business, Operations Management, or a related field.
    • 5 years of experience in a healthcare or medical device environment, with at least 2 years in management or supervisory role.
    • Proven experience coordinating cross-functional teams and managing operational workflows.
    • Strong knowledge of regulatory and quality standards applicable to medical device management or surgical case planning.
    • Proficiency in using healthcare information systems, inventory management tools, and project management software.


    Skills:

    • Experience with EHR systems, PACS, or DICOM sharing services (Ambra, Powershare, LifeImage) is desired.
    • Familiarity with surgical case management, surgical team coordination, and patient-specific medical device planning.
    • Excellent communication and interpersonal skills, with an ability to work effectively across departments.
    • Strong organizational skills and attention to detail, with a problem-solving mindset.
    • Demonstrated ability to manage change and drive continuous process improvements in a dynamic environment.

    Compensation

    We are pleased to provide a competitive salary and benefits. Our benefits reflect our investment in the overall health and well-being of our employees and their families. including paying 100% of monthly healthcare, dental & vision insurance premiums, a 401(k) plan with employer matching and unlimited PTO. The expected pay range is: $130,000 to $150,000 annually. Compensation may vary based on related skills, experience, and relevant key attributes.
