Join our exceptional team at Carlton Senior Living as our Staffing Coordinator! The starting pay is $55,000 salary non-exempt, commensurate with skills and experience. Please note the standard work schedule for this role is five days a week including one weekend day
SUMMARY
In the Staffing Coordinator position, you will work alongside the Care Management Team to maintain appropriate staffing levels. In this role, you will be responsible for recruiting Care Partners and Medication Technicians, managing the applicant tracking system (ATS), conducting interviews, following up on pre-employment tasks, and embedding the new hires into the Carlton community. You will be expected to utilize our scheduling program to create and manage the monthly schedule for the Care team, checking for open shifts and minimizing overtime. This involves adhering to established policies, procedures, and governmental regulations to guarantee sufficient coverage and maintain the delivery of high-quality care to our residents. This position requires self-motivation, active thinking, strong analytical skills, and attention to detail to maintain organization and consistency within the community.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by your direct manager. Regular and predictable attendance is an essential function of the job.
- Recruit Care Partners and Medication Technicians for the community.
- Utilize Applicant Tracking Systems (ATS) to open and close requisitions.
- Conduct phone screen interviews and in-person interviews.
- Offer positions to candidates on the ATS when applicable.
- Serve as the point of contact for candidates with questions.
- Follow through with candidates’ pre-employment tasks that include pre-employment online paperwork, medical clearances, and background checks.
- Coordinate onboarding with the Executive Assistant/Associate Director of the community.
- Complete the New Hire Scheduling Checklist (Explaining scheduling policies/practices, providing education on how to use a scheduler such as post shifts, swap shifts, and picking up shifts).
- Create and establish the monthly schedule for the Care/Medication team in a timely manner based on employees’ availability and staffing guidelines from our Assisted Living Integrated Solution (ALIS).
- Collect data in ALIS to incorporate into the schedule and determine discrepancies.
- Review payroll hours to align with community staffing guidelines.
- Run reports in the scheduling program to provide to management.
- Update employee availability in the scheduling program.
- Engage with Care Staff regarding their schedule to discover whether it’s effective and ideal and communicate with Care Managers any feedback.
- Maintain up-to-date knowledge of resident care plans/preferences to assign task sheets to each shift to assist the Care Management.
- Identify talent to fill any open shifts to the best of your ability by notifying staff or contacting Registry and communicating with managers when unable to do so.
- Monitor employee leave statuses to confirm they remain current on all mandatory training that falls under the Department of Social Services (DSS) and Carlton guidelines.
- Adjust employee shifts throughout the month as needed.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
- Minimum of high school education or GED or combination of related experience.
- Experience according to the essential duties and responsibilities is preferred, but not necessary.
- Reasonable expectations of mathematical, technical, and reasoning skills to perform essential job responsibilities.
- According to Title 22, Section 87411(b) requirements, must be at least eighteen (18) years of age.
- Experience in utilizing multiple software platforms is preferred.
COMMUNICATION SKILLS
- Proficient in reading in English and understanding various forms of communication, including instructions, emails, and notices.
- Effective conflict resolution skills to address conflicts, concerns, and issues in a diplomatic and constructive manner, fostering a positive work environment and team cohesion.
- Must be able to use technology, such as company-provided phones, laptops, and tablets, to communicate with staff.
- Remain professional and respectful interactions with our customers – including residents, family members, and all staff members.
