What are the responsibilities and job description for the Associate, Patron Programs position at Carnegie Hall?
We are seeking a highly organized and detail-oriented Associate to join our Patron Programs team. This role is pivotal in supporting our mission by ensuring seamless operations and exceptional donor relations.
Responsibilities:
Office Management: Assist with day-to-day office organization, internal communications, room reservations, and scheduling to ensure smooth operations.
Gift Acknowledgment: Manage and facilitate the weekly gift acknowledgment process for Patrons, Explorers, Notables, and Trustee annual gifts. This includes preparing weekly reports, gift posting forms, acknowledgment letters, emails, receipts, and membership materials.
Pledge Management: Prepare monthly outstanding pledge reports for the Director of Patron Programs and coordinate follow-up communications to ensure timely fulfillment.
Membership Renewal: Prepare, compile, and send monthly membership renewal solicitation letters to maintain and grow our donor base.
Event Support: Assist with all Patron, Explorers, and Notables events, including day-of logistics for events and Galas, ensuring a memorable experience for attendees.
Major Gifts Support: Provide administrative support to the Director of Major Gifts as required.
Data Management: Maintain accurate data for internal and external reporting, manage donor lists and portfolios, and oversee the paper and electronic filing system.
Donor Communication: In coordination with the Patron Program Senior Associate, monitor general membership inboxes and communicate with Patrons via phone and email to assist with membership inquiries.
Donor Recognition: Ensure accurate donor credits and updates in listings, including monthly concert program Playbill and website donor listings.
Additional Duties: Perform other related duties and special projects as assigned to support the overall goals of the Patron Programs team.
Qualifications:
Education: Bachelor’s degree required.
Experience: 1-2 years of work experience, preferably within a Development and/or administrative role.
Skills: Excellent interpersonal skills, strong written and verbal communication skills, and a keen attention to detail.
Attributes: Ability to prioritize tasks in a fast-paced environment, demonstrating flexibility and a proactive approach to problem-solving.

Salary : $62,500 - $63,000
