Carnegie Mellon University’s department of Campus Design and Facility Development is searching for an Executive Assistant and Office Coordinator to join their team. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by managing the execution of the administration functions for the department and serving as the Executive Assistant to the Associate Vice President. This position requires a substantive understanding of the department’s mission and objectives, critical projects, key employees and issues. This position will regularly handle sensitive and confidential information, which includes direct communications with senior university academic and administrative leadership, Trustees, outside consultants and community members, human resources issues, including staff compensation, for the department

More Information:
Core responsibilities include:
- Manages administrative responsibilities for the department including calendar management, communications, meeting and presentation coordination and department logistics
- Acts as a resource to the Associate Vice President, Vice President, senior department management, administrative staff, project managers and student employees.
- Serves as liaison for all public relations requests and responds directly to correspondence, phone inquiries and visitors
- Processes financial transactions including petty cash, travel, and supply procurement
- Organizes high-level special events
- Oversees facilities and equipment
- Coordinates travel arrangements
- Other duties as assigned
You should demonstrate:
- Excellent oral and written communication skills
- Strong organizational, planning, and problem-solving skills
- Attention to detail
- Ability to handle sensitive and confidential information
- Associate’s degree or equivalent relevant experience required
- Bachelor’s degree preferred
- Experience with procurement and purchasing processes preferred
- Successful background check
