Carnegie Museum of Pittsburgh seeks a Full-Time Associate, Membership & Annual Giving to work directly with the Senior Director of Membership & Annual Giving. The Associate is responsible for performing diversified development, writing, administrative, and event functions for membership and annual giving.
Evening, weekend, and holiday work is required.
Qualifications
A bachelor’s degree or equivalent combination of education and experience is required.
Three years of office administrative or development experience preferred.
Exhibits the collaborative and adaptive nature necessary to foster strong relationships and exercises sound judgment, tact, and diplomacy with members, donors, visitors, volunteers, and museum staff.
Must be technologically proficient with Microsoft Office products, including Word, Outlook, Access, Excel, Project, and PowerPoint, and comfortable with exploring and learning new technologies.
Demonstrated ability to maintain confidentiality and discretion to interact well with all levels of staff, community leaders, and the general public.
Excellent project management skills required.
Raiser’s Edge or Tessitura fundraising software knowledge a plus.
Experience in non-profit educational or cultural organizations desirable.
Must possess excellent verbal, written, and organizational skills.
Evening, weekend, and holiday work is required.
PHYSICAL REQUIREMENTS: Work is primarily sedentary in nature; no special demands are required.
Principal Accountabilities
Assists the Senior Director of Membership & Annual Giving in a variety of administrative functions, including calendar management, scheduling meetings, responding to messages and inquiries, and drafting and sending correspondence.
Assist the Senior Director on CORE team projects for the mapping, configuration, and implementation of Tessitura and Prospect2.
Responsible for alerting management to any issues that prevent adherence to expected schedules and for routine reporting tasks to measure performance.
Writes, proofreads, and prepares written material and correspondence.
Must follow assigned protocols for collecting and verifying information used in correspondence.
Assists with end-of-year processes, customer service, gift processing, and fulfillment.
Creates Powerpoint presentations, updates reports, and compiles data to provide reporting and information to various stakeholders.
Provides prompt and courteous customer service at all times. Understands and can explain and apply associated rules, regulations, policies, and procedures.
Assist in maintaining complete and accurate records of project status and performance.
Responsible for ensuring accurate record keeping in the department’s databases and other areas where documentation is stored.
Must respect the confidentiality of data and ensure ethical standards of the field are followed.
Updates and stores information about processes and procedures in the appropriate location.
Processes department invoices, including the assignment of account numbers and tracking expenses to approved budgets.
Monitors budgets as assigned and brings to management's attention any areas of concern.
Accomplishes responsibilities in a timely fashion with a minimum of supervision and meets established deadlines.
Represent CMP’s membership program in public and at internal and external events. Nights, weekends, and holidays are required.
Identify, track, and report on sponsorship opportunities and recognition across membership marketing assets and programs.
Complete monthly inventories of collateral materials
Other duties as assigned.
